Job Summary:
We are looking for a versatile Medical and Administrative Assistant who is also skilled in marketing and communications to join our clinic. Ideal assistants will have a strong healthcare background (RNs encouraged to apply) and are also very tech-savvy. This multi-faceted role involves supporting medical and administrative operations while also enhancing our clinic’s online presence and patient engagement through digital and social media channels. The ideal candidate is organized, adept in both patient care and digital communication, and committed to excellence in healthcare delivery.

Key Responsibilities:

Sales Key Responsibilities:
-Answer the phone and greet potential clients
-Answer their questions regarding the wellness program
-Engage with potential clients via phone, and email to introduce the physicians services
-Present and explain program features, health benefits in a clear and compelling manner
-Understand person’s needs
-Follow up with activities within CRM software
-Develop and maintain strong relationships with clients to encourage repeat business and referrals
-Handle objectives and concerns calmly and professionally within a medically appropriate manner
-Be informed of the products and services

Administrative and Clinical Duties
– Perform virtual front-desk operations such as answering phones, scheduling appointments, and managing patient check-ins and after-visit follow-ups
– Complete prior authorization paperwork, follow up on prior authorization process
– Contact pharmacies regarding medication availability
– Manage patient records and ensure compliance with privacy regulations.
– Send / Receive invoices to patients
– Update patient charts with vital signs, and relevant material the doctor provides during the visit
– Sort inbound / outbound faxes

Marketing and Communication Duties:
– Develop and send out email newsletters to keep patients informed about clinic updates, health tips, and upcoming events.
– Maintain and update the clinic’s social media profiles (e.g., Facebook, Instagram, LinkedIn) to engage with the community, promote health awareness, and highlight clinic services.
– Repurpose and organize (physician guided) content for the clinic’s blog, focusing on health education, clinic news, and wellness tips.
– Monitor social media and online feedback to enhance patient satisfaction and clinic reputation.
– Assist in creating promotional materials and campaigns for clinic services and special events.

Requirements:
– Proven experience in a medical administrative role; experience in marketing or communications is highly beneficial.
– Strong organizational skills and the ability to multitask effectively.
– Excellent communication skills, both written and verbal.
– Proficiency in using medical software and digital marketing tools
– Creative skills for effective blog and social media content re-purposing
– Compassionate nature with the ability to maintain confidentiality and professionalism.
