A Construction company is looking for a hard-working Administrative Assistant to join their amazing team located in Australia!

We are looking for a highly motivated individual eager to have career growth. The role provides administrative support to management and/or the team through answering incoming communications and other general admin duties. You will be responsible for managing data and keeping it organized. Your main goal will be to keep data in order so that it is easily accessible at any time.

To do well in this job, you should collect information and capture data promptly to ensure the business’ databases are current to accurately reflect its developments, updates, and transactions. Top candidates will be focused, diligent, energetic and have good people’s skills. Someone who has the drive to keep things organized and able to manage competing priorities.

Essential Duties and Responsibilities:
Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
Screening phone calls and routing callers to the appropriate party.
Assist in the preparation of regularly scheduled reports.
Provide general administrative support to the Executive, including appointments, messages, word processing and copying.
Input new information into database systems.
Create and manage spreadsheets.
Control the data probity by performing comparative analysis of different sources.
Regularly update existing database system records
Produce reports.
Retrieve data as requested.
Document, organize and store relevant documents.
Handle and manage other ad-hoc or admin duties as required.

Education and Work Experience:
Minimum of three (3) years’ experience as Virtual Assistant/Administrative Assistant or in any similar role.
Excellent English communication skills
Fast typing skills
Excellent knowledge of word processing tools and databases
Proficient with spreadsheets (MS Office Word, Excel etc.)
High-level attention to detail and confidence in analysing data and creating reports
Sense of ownership and pride in your performance and its impact on company’s success
Critical thinker
Team player
Good time-management skills
Great interpersonal and communication skills
Other Requirements:
Understanding of the construction industry and how it works in Australia with sub-contractors and supplier orders
Issuing of works and purchase orders
Previous use of construction database software is a bonus
Knowledge and understanding of how to read construction plans
