As they continue to grow, they are seeking a highly organized and detail-oriented individual to join their team as a Construction Process Documentation and Administrative Specialist.

The Construction Process Documentation and Administrative Specialist will play a crucial role in ensuring the efficiency and success of their construction projects. This multifaceted position involves two primary functions: meticulously documenting internal construction management processes and procedures and providing essential administrative support to various operational aspects of their construction projects.

Primary Responsibilities:
Collaborate with the construction team to document internal processes and procedures related to construction management.
Record detailed daily logs of team activities during ongoing construction projects.- Use collected data to create a comprehensive template for new project timelines, tasks, lead times, and other essential components.
Ensure accuracy and consistency in documenting processes to facilitate streamlined operations and project management.

Secondary Responsibilities:
Assist in administrative tasks associated with the construction company’s operations.
Establish and manage accounts with vendors to ensure seamless procurement of materials and services.
Communicate effectively with the bookkeeper to track and manage project expenses.
Coordinate the issuance of insurance policies by liaising with appropriate vendors.
Provide general administrative support to the construction team as needed.
Requirements

Qualifications:
At least 3+ years of work experience as an Admin Assistant, Executive Assistant, or related roles particularly in the construction industry.
Exceptional organizational skills with meticulous attention to detail.
Strong written and verbal communication skills.
Proficiency in documenting processes and procedures.
Basic understanding of construction project management concepts.
Ability to juggle multiple tasks and prioritize effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Familiarity with construction terminology and practices is advantageous.
Preference for experience with tools such as Notion, , or ClickUp.

Requirements:
Proven ability to create clear and concise process documentation.
Demonstrated organizational skills with a history of efficiently managing tasks.
Strong interpersonal skills to collaborate effectively with cross-functional teams.
Adaptable and capable of thriving in a dynamic work environment.
Possesses a professional demeanor and a strong work ethic.
