Job Description:
• The Purchasing Agent will play a critical role in the construction operations department. This position is multi-faceted, fast-paced, and provides an opportunity to work in a team environment. This individual must be able to multitask, have computer knowledge (Google Sheets, MS Excel, Email), and have good communication skills.
• Daily activities will include, but are not limited to: submitting purchase orders, monitoring/auditing open Purchase Orders for receipt and delivery dates, and coordinating with project team members including Project Management, Procurement, and Warehouse Managers. Additionally, they will aid the Accounts Payable team regarding invoice questions pertaining to PO entries and coordinate new project accounts with key material suppliers by providing Preliminary Notice and basic project information.
• The perfect person for this position is organized and detail-oriented; familiar with accounting practices as they relate to purchasing and inventory management; can communicate clearly, effectively, and respectfully with coworkers and vendors; is self-motivated; and embraces the ideal of continuous improvement to plan and implement new policies, procedures, and best practices in order to increase operational efficiency.
Key Responsibilities & Duties:
• Accurately processing Purchase Order requests from Cal Solar authorized purchasers by entry into Sage Intacct accounting system.
• Work with the Project Management and Field Operations teams to coordinate the ordering and delivery of job-specific materials.
• Maintain a positive relationship with suppliers, communicating approved purchases clearly.
• Analytical skills to audit unfulfilled Purchase Orders.
• Judgment and decision-making skills to follow current company policies for purchasing requests.
• Process and track Return Materials orders, coordinating with warehouse managers and appropriate field crew members.
Key Qualifications, Skills, and Abilities:
• Detail-oriented and well-organized.
• Excellent verbal and written communication skills.
• Self-motivated and able to work in a dynamic, fast-paced work environment.
• Strong experience with Microsoft Applications Suite (Excel, Word, PowerPoint, etc.) or similar software, and Dropbox, SCOOP.
• Familiarity with Microsoft/Google suites and general accounting software (Sage is a plus).
• Familiarity with general electrical and plumbing materials is a plus.
• General understanding of the construction process.
