Job Description

I’m looking for an executive assistant PLUS. You are: creative, organized, assertive, curious, familiar with Instagram and Facebook social media, and interested in learning more about social media ads and marketing.

You are reliable, technologically savvy, optimistic, view failures as wonderful growth and learning opportunities, and live by the mantra “everything is figureoutable”.

I’m seeking someone who is enthusiastic, excited to learn new things, and help me grow my business like it’s their own.

I would love to hire someone who is similarly aligned to my interests and goals (working with parents to help kids), and who shares my vision (to reduce teen mental health problems).

I hope to find a partner who can grow my business with me, and grow into a leadership role as I expand in coming years.

Day to day, I need someone very organized, and detail-oriented to help me manage the digital aspects of my business. I’m a child psychiatrist turned parent coach and have an online course. I also do podcasts as a guest, and would like to launch my own podcast. I have a growing YouTube channel that needs some work (your creative vision, perhaps?). I am available and seeking speaking engagements and building a network of clients I will work with 1:1, so my assistant will also need to handle accurate and timely scheduling of my professional calendar.

Daily tasks:

1. Email management: I need my executive assistant to manage my email inbox daily – deleting any irrelevant promotional materials, labeling the remainder of messages to be read and then archived by me daily, adding any necessary events to my calendar, and clearly placing any email messages that require action or response from me in a designated folder.

WHY: I need to be able to log into my personal and business Gmail accounts daily for my business and complete all actions required of me within 30 minutes.

2. Reviewing website form submissions and responding to any inquiries within 24 business hours.

WHY: I’m starting a lecture circuit as a public speaker and need to be able to respond quickly to any inquiries that come in.

3. Keep me informed of any upcoming due dates/deadlines

WHY: To help keep me accountable to my weekly productivity schedule

4. Interact with social media accounts, generate and post new content, respond to any comments

WHY: To grow my followers and subscribers and keep my customers engaged

Weekly tasks:

1. Meeting with me to review the results of the week’s efforts. My goal is to increase my number of followers, subscribers, and email newsletter subscribers week over week. I need someone who can generate data and ideas about organic growth and keep track of what is working, to tweak my results to be more optimized week over week. I will generate the content, but you will generate the posts and track the results.

Monthly tasks:

1. Present data month over month of YouTube/podcast subscribers, Instagram and Facebook followers, email newsletter subscribers, as well as data on email clicks and opens. Prepare a summary of what worked best and how we can improve upon it in the following month.

General description of me and the current state of my business:
Currently, my business is at the beginning stages. I am launching a parent coaching business. My goal is to work with high-achieving, busy, professional parents who have kids ages 5-12 to help them understand and implement the pillars that parents need to enforce in order to create strong trust and open communication with their children. The ultimate goal in doing so is lifelong close relationships with their children, and prevention of depression and anxiety in adolescence.

I am currently running the beta version of my course through with a group of 30 subscribers. This will end August 2023.

The first project will involve updating my website and course webinar with testimonials from my current beta tester group. We will then need to launch a Facebook marketing campaign for my parenting course, with a goal of starting a new cohort of at least 20 parents by end of October 2023.

I plan to offer three versions of my course:

1) An evergreen version of the course. I need help to generate the lead funnel and advertising for this.

2) An upsell from this to a quarterly version of the course that will include my support. I will offer a waitlist to those who want to join. This supported course, offered 2-3 times per year, will include weekly Q and A calls with me as well as a workbook to use while completing the course videos and access to a private facebook community, monitored by me, for 12 weeks from the start date to help parents implement their newfound skills with accountability partners.

3) For motivated graduates of the course, I will offer up to 10 spots for people to work with me on an annual basis, which will consist of an initial 45 minute free interview to help identify goals, then 45 minute zoom calls every other month to help them achieve their goals. The promotional content for this has not yet been created, and would be a future project starting late 2023/early 2024.
