Job Description

Job Title: CRM and Communications Coordinator
Job Overview: We are seeking a detail-oriented and organized individual to join our team as a CRM and Communications Coordinator. This role involves managing our Customer Relationship Management (CRM) system, Ontraport, and overseeing various communication channels to include but not limited to Facebook, Instagram and Twitter. The ideal candidate will be proficient in writing and editing, have a keen eye for detail, and possess excellent organizational and communication skills.

Responsibilities:
Email Management:
Write and edit emails for various purposes, including customer communications, marketing campaigns, and internal updates.
Schedule and coordinate email campaigns using the Ontraport CRM system.
Ensure accuracy, proper grammar and consistency in email content and branding look and feel.

Social Media Coordination:
Edit and schedule social media posts across various platforms directly on social media channels for Facebook page and groups and using scheduling tools like .
Collaborate with the marketing team to create engaging and on-brand content.
Monitor social media channels for engagement, LIKE and respond to comments or inquiries.

Team Meeting Support:
Schedule and coordinate weekly team meetings, ensuring all team members are informed and prepared.
Take minutes during meetings, summarizing key discussions, decisions, and action items.
Distribute meeting minutes promptly and follow up on action items to ensure timely completion.

CRM System Management:
Manage and update customer data in the Ontraport CRM system.
Work closely with the sales and marketing teams to ensure accurate and up-to-date information.
Generate reports from the CRM to provide insights into customer engagement and communication effectiveness.

Email and Calendar Management
Check email marking unimportant emails as read, marking important emails as important and suggestions for Opt-outs of specific brands to reduce unnecessary flow of emails.
Provide response or work with the CEO to ensure respond to other team members and contractors.
Texting CEO highlights and schedule meetings for the day.

Collaboration and Communication:
Collaborate with various teams to gather information and ensure accurate representation in communications.
Act as a liaison between different contractors to streamline communication processes.
Provide support in crafting clear and effective communication plan and strategies.

Qualifications:
Proven experience in writing, editing, and scheduling emails.
Familiarity with Ontraport or other CRM systems is a plus.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
Detail-oriented with a commitment to accuracy.
Proficient in social media management.
Experience with meeting coordination and minute-taking.
