Job Description

The role of the Customer Service Rep (CSR) is to be the conduit and coordinator of the work required for each service customer. The CSR is responsible for conveying all information to all parties involved, but not limited to: internal customers (managers and team members), external customers (property owners, building managers), and third-party partners (subcontractors and vendors) are all coordinated cohesively.
The CSR helps prepare and coordinate tasks efficiently by understanding the requirements for each job. CSR is responsible for creating purchase orders (PO) through our Accounting Software, updating PO’s by data entry of receipts, and invoicing for a job.
Essential Duties:
• Create work orders in our “CRM” – Customer Relationship Management platform.
• Notifies team members of the new work order’s (WO) and associated PO’s created.
• Review and send completed work orders to customers.
• Create and send invoices upon completion of work order reviews.
• Send and secure signed Time & Materials pricelist.
• Review wo’s and ensure all costs are billed against the correct job for final invoicing.
• Email accounting for all invoicing. Once received, email to customer.
• If multiple invoices against the same customer account, must create invoice packet with all the supporting documentation.
• Follow-up weekly or monthly by emailing customer on aging invoices greater than 45 days. Follow AR checklist.
• Send final paid invoices (PIF) to customer.
• Review weekly technician time cards to ensure their time is charged against the correct job. Make corrections if not.
Must have 3-5 years customer service experience. Must be able to multi-task, professionally write and speak clearly and effectively. Must be detailed, well-organized, and efficient with all job files. We are searching for someone who prides themselves on providing exceptional customer service with extensive follow-up and follow-through. Accuracy is essential to the work performed. Experience in air conditioning/plumbing industry is preferred. A great attitude and willingness to learn and grow will always be considered. We are willing to train the right person for the role.
