**Position Overview:**
We are on the lookout for a highly organized, customer-centric individual to fill the role of a HVAC Customer Service Receptionist. This key position involves managing service schedules, dispatching technicians, and being the initial contact point for our clients. The ideal candidate will be a communication maestro, possess stellar multitasking skills, and be committed to outstanding customer service. THIS ROLE IS FOR 40 HOURS PER WEEK, DURING EST BUSINESS HOURS.
**Key Responsibilities:**
1. **Client Communication:** Act as the primary contact for clients through phone and email. Handle inquiries, provide detailed information about our services, and ensure a seamless, professional client experience.
2. **Dispatching:** Schedule and dispatch HVAC technicians to service locations with efficiency. Keep tabs on progress and communicate updates to both clients and technicians.
3. **Appointment Scheduling:** Oversee and coordinate service appointments, ensuring clear communication of schedules to clients and technicians.
4. **Record Keeping:** Maintain precise records of client interactions, appointments, and technician dispatches.
5. **Support Services:** Undertake administrative tasks including billing, data entry, and client database management.
6. **Issue Resolution:** Quickly and effectively address client concerns, maintaining high standards of client satisfaction.
**Qualifications:**
– Prior experience in customer service, preferably within the HVAC industry.
– Exceptional communication and interpersonal skills.
– Capable of independent work with effective time management.
– Proficient with computer systems, including Microsoft Office, and CRM software.
– **Specific CRM Proficiency:** Strong proficiency in using CRM software is essential. EXPERIENCE WITH HouseCall Pro or Service Titan IS A MAJOR ASSET.
