Job Description

We want to hire a dynamic data entry specialist to join our company’s administrative department. In this role, you’ll be responsible for entering client information into our electronic storage system, updating existing entries, and appropriately organizing hard copies of information.

To ensure success as a data entry specialist, you should display impeccable organizational skills and experience working with various databases. Ultimately, a top-notch data entry specialist should have a razor-sharp eye for detail and excellent knowledge of data management.

Data Entry Specialist Responsibilities:
* Collecting and digitizing data such as invoices, canceled bills, client information, and financial statements.
* Maintaining a detailed and organized storage system ensures complete and accurate data entries.
* Keeping a record of hard copy data such as invoices, inventory checklists, and other financial documents.
* Establishing data entry standards by continually updating filing systems to improve data quality.
* Addressing data inconsistencies by working with administrative staff to locate missing data.
* Attend to data queries and report any significant data errors to management.
* Adhering to best data management practices and maintaining a high standard of accuracy and efficiency.
* Prepare, compile, and sort documents for data entry.
* Verify and log the data input by ensuring its accuracy and completeness.
* Transfer information from paper to digital formats using a range of transcription tools.
* Perform high-volume data entry using word processing, spreadsheets, databases, and other computer software.
* Verify data integrity by cross-referencing source documents and correcting discrepancies.
* Manage and organize digital and physical filing systems, ensuring the protection and confidentiality of sensitive customer information.
* Perform regular data backups to prevent data loss.
* Respond efficiently to retrieving data from the databases or electronic filing systems.
* Maintain a satisfactory level of quality and productivity per department standards.
* Complete additional assigned tasks as required.
* Perform meticulous data entry for various files
* Ensure all data entered is accurate and up to date
* Use your skills in typing and performing calculations effectively
* Organize and file documents in an efficient manner
* Provide welcoming assistance to visitors as required
* Process payroll data accurately and efficiently
* Execute additional administrative duties as directed
* Maintain strong organizational skills and adapt to new information quickly
* 2+ years of experience with high-volume data entry and management
* Exceptional data entry skills, with attention to detail and accuracy
* Ability to organize and manage files efficiently
* Capable of performing calculations and data analysis
* Proficient in Microsoft Excel, Microsoft Word, and Microsoft Access
* Ability to work independently and as part of a team
* Willingness to learn new systems and processes

Data Entry Specialist Requirements:
* A high school diploma or GED.
* 80 WPM typing speed
* Exceptional organizational skills, a keen eye for detail, and the ability to spot errors accurately and efficiently.
* Good communication skills and the ability to collaborate with staff members.
* Solid time management skills and the ability to prioritize tasks.
* Excellent typing skills and experience working with iOS, Windows, Microsoft Office, and Google Suite.
* Strong computer skills, including familiarity with data entry systems, databases, and relevant software applications.
* Excellent attention to detail.
* Strong written and verbal communication skills.
* Ability to analyze and verify data accurately, identifying and resolving discrepancies effectively.
* Strong understanding of data confidentiality principles, ensuring sensitive information is handled securely.
* Comfortable working independently with minimal supervision.
* Willing to work weekends and Business Hours – Pacific Standard Time

Education and Requirements:
* Minimum High school diploma or GED certificate
* Associate or Bachelor’s degree preferred but not required
* 3 years experience in data entry or equivalent training
