We seek a Dedicated Client Assistant to join our dynamic team!
We are a US-based recruitment firm that introduces families to nannies and private educators. We are a team of US-based employees and 3 full-time employees based in the Philippines. We are a women-owned, LGBTQ-friendly business that believes diversity makes us stronger!
About the role:
This role will support our client coordinator and sales pipeline by following up with unclosed leads, scheduling sales calls and follow-up appointments, responding to general inquiries, and gauging potential clients’ fit within our process. The ideal candidate is naturally organized, comfortable with high-level communications with key decision-makers.
Main Tasks / Responsibilities
Email Management and Communication:
Monitor shared inboxes, update records, upload files, and promptly respond to emails as required.
Prioritize and provide exceptional treatment to new client inquiries, including direct referrals and returning clients.
Follow up with clients regarding their ongoing placements and conduct email check-ins as necessary.
Send personalized “thank you for scheduling” emails to clients upon confirmation through Calendly.
Client Engagement and Assessment:
Review family applications for suitability, schedule compatibility, and draft responses for non-matching clients.
Conduct online audits and searches to assess potential client fit and identify discussion points for sales calls.
Documentation and Organization:
Craft job descriptions and screening questions based on family applications and call notes.
Assist in onboarding new clients by managing tasks in Asana and Google Streak.
Maintain accurate and updated client files, ensuring all relevant documentation and communications are properly logged.
Qualifications:
2+ years of experience working in client acquisition, business development, B2B sales, B2C sales, list building, client retention, and/or customer service roles
Familiarity with our tech suite, specifically Asana, G Suite, Streak, Slack, strongly preferred!
Availability to fully dedicate to our team during scheduled working hours
Exceptional attention to detail
Consistent and reliable communication with the ability to meet deadlines
Comfortability working with a largely female and LGBTQ+ team
Fluency in English, both written and verbal
Ability to suggest and document process improvements and optimizations
Familiarity with American culture, terms of phrase, persuasive communication techniques, and colloquialisms
Ability to communicate with clients using phone scripts and Grasshopper, our VoIP, preferred but not required
Exceptional references from previous remote employers
Skills and experience is a PLUS
Slack, Airtable, Asana, Zapier, G Suite, Gmail, Streak, Jotform, ChatGPT, Typeform, Grasshopper, Calendly, Zoom, and Canva
Budget and Hours
$7-9 per hour, 30-40 hours per week
Monday – Thursday from 9am to 5pm EST
Fridays from 12pm – 4pm EST
Office closed with pay for all major US holidays, as well as the week of Christmas
