We’re seeking an experienced, results-oriented, and ambitious Appointment Setter/Patient Concierge to join our dynamic team and be a crucial part of the life-changing dentistry we provide to our patients.
What You’ll Do
You will play a pivotal role in guiding patients through their journey, from initial inquiry to the booking of their first appointment. Your day-to-day responsibilities will include:
– Appointment Coordination: Schedule, reschedule, and confirm appointments. Work closely with our front desk team to ensure schedules are optimised. We are open Mon – Fri 8:30am – 5:30pm AEDT, but may require leads to be followed up outside of clinic hours. Flexibility is required.
– Patient Interaction: Provide exceptional customer service via phone, email, SMS and chat. Answer questions, offer guidance, and provide information about dental services to potential patients.
– Follow-Up: Conduct follow-up communications with patients to confirm upcoming appointments and post-visit satisfaction.
– Record Keeping: Maintain accurate and up-to-date records of patient interactions, appointments, and communications.
– Reporting: Track and report your KPIs (with the help of our CRM)
– Team Collaboration: Work closely with our in-house front desk team to ensure the patient experience is unparalleled.

About You:
Proven experience in appointment setting or sales is required. Previous experience within the dental or healthcare industry is desirable. You must also:
– Enjoy building deep, meaningful relationships with people, and have a warm and friendly demeanour.
– Be fluent in English, conversational and grammar.
– Possess exceptional organisational skills and attention to detail
– Have reliable phone and internet access on a daily basis
– Be able to commit to at least 6-8 hours per day
– Enjoy problem-solving and finding creative solutions (previous experience in a customer-facing or sales role would be advantageous)
– Be proficient with HighLevel CRM software and Google workspace.
