Job Description

We are currently seeking an experienced and organized Studio Coordinator to join our dynamic team. The successful candidate will play a crucial role in managing the front-of-house and day-to-day operations of our studio. This position involves ensuring the smooth completion of all administrative tasks, collaborating with team members to maintain office efficiency, and providing essential resources for all employees.
Key Responsibilities:
Office Services:
General housekeeping and maintenance of office support systems.
Monitor and replenish office supplies such as stationery, paper, toners, food and beverage, etc.
Ad hoc copying, printing, and binding of documents as requested.
Archiving, product library management, and liaison with IT.
Errands as requested, including deliveries and collections.
Assist with event planning and coordination, including company meetings and social events.
Handle ad hoc administration requests from the management team.
Business Development:
Perform and manage our project management tool Zoho, updating the platform with new jobs and timelines.
Coordinate client lunches and assist in office-wide events as requested.
Provide general office-wide assistance, including data entry, subscriptions, and booking.
Offer support for general marketing/project production tasks, including ad hoc requests for presentation materials, submissions, website, and social media publishing, etc.
Knowledge Contribution:
Monitor and research advantageous deals or suppliers.
Create new and improved systems for the efficient running of office support services.
About You:
The ideal candidate should possess the following skills and attributes:
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Highly proficient in relevant tools and processes [Apple Mail, MS Word, Excel & Outlook, Dropbox, Zoho, Xero an advantage, Adobe Creative Suite an advantage].
Ability to work independently and take initiative where needed.
Strong organizational and time management skills.
Excellent communication and interpersonal skills with a positive can-do attitude.
Proficient in Apple Mail, Microsoft Office, ZOHO, Xero, and other office software.
Attention to detail and accuracy.
