We are currently seeking a highly organised and detail-oriented individual to join us as an Administrative Coordinator & Virtual Assistant. This role offers the opportunity to work remotely and contribute to various aspects of our operations, including administrative support, digital marketing assistance, and executive assistance.
Responsibilities:
– Provide comprehensive administrative support to the management team, including calendar management, scheduling appointments, and organising meetings.
– Act as a virtual assistant to executives, handling correspondence, email management, and other administrative tasks as needed.
– Assist in digital marketing initiatives, including social media management, content creation, email marketing campaigns, and website updates.
– Conduct research and data analysis to support marketing strategies and business development efforts.
– Coordinate travel arrangements and logistics for team members, including booking flights, hotels, and transportation.
– Prepare and edit documents, presentations, and reports with a high level of accuracy and attention to detail.
– Maintain organised files and records, both physical and electronic, ensuring accessibility and confidentiality.
– Monitor and manage deadlines, priorities, and deliverables to ensure timely completion of tasks and projects.
– Collaborate with team members across departments to support cross-functional projects and initiatives.
– Assist with special projects and ad-hoc tasks as assigned by management.
– Well versed in budgeting & cost control
– Stellar project management skills
– Familiar with Notions and other CRM systems to manage team tasks
Requirements:
– Proven experience as an administrative coordinator, virtual assistant, digital marketer, or executive assistant.
– Strong organisational skills and the ability to multitask effectively in a fast-paced environment.
– Excellent written and verbal communication skills, with meticulous attention to detail in writing and editing.
– Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and familiarity with project management tools.
– Knowledge of digital marketing principles and platforms, including social media, email marketing, and content management systems.
– Ability to work independently with minimal supervision and prioritise tasks based on importance and urgency.
– Strong problem-solving abilities and a proactive approach to identifying and addressing issues.
– High level of professionalism, discretion, and confidentiality in handling sensitive information and communication.
– Flexibility to adapt to changing priorities and deadlines as business needs evolve.
– Experience working remotely and using virtual communication tools (e.g., Zoom, Slack, Microsoft Teams) is a plus.
