Responsibilities of the Customer Service Representative/Dispatcher:

Your responsibilities include:

Customer Service:
Receive and process incoming service requests via phone, email, or online platforms
Listen actively, reassure customers, and de-escalate situations
Manage inbound phone calls and troubleshoot issues with tenants before dispatching technicians
Keep customers informed about service statuses, estimated arrival times, and any delays
Follow up with customers, especially after service, to ensure satisfaction and gather feedback

Project Management / Dispatch Coordination:
Prioritize and assign service tasks to field technicians based on expertise, availability, and location
Monitor ongoing jobs to ensure timely completion and customer satisfaction
Collaborate with technicians to provide the necessary information, materials, and tools for each assignment
Optimize technician schedules to maximize efficiency and minimize travel time
Coordinate routes for technicians to reduce travel distances and environmental impact
Manage appointments, cancellations, and rescheduling while handling urgent requests appropriately
Close out work orders with clear documentation and updates in the system and client portal

Other Administrative Tasks:
Maintain accurate records of service requests, work orders, and customer interactions
Coordinate with accounting for invoicing, payment tracking, and billing information processing
Manage inventory levels of maintenance supplies and equipment, coordinating replenishment with technicians
Assist in preparing reports, data analysis, and performance metrics as required
