Must have at least 3 years of experience in advanced billing and admin work.
Must have excellent English and communication.

Job Title: Dolphin Transportation Dispatcher
Full-time (Possibly part-time to be a backup)
Hours M-F Flexible- 8 am-3 pm (On-call for emergencies while drivers are on the road which can be as early as 5 am – 6 pm eastern US time.)

Step 1: Trip Request Management
You’ll receive trip requests from the broker the day before they take place and multiple days on Fridays.
Organize trips based on miles, location, drivers, and availability.
Organize trip requests the day before into a daily schedule for drivers, ensuring optimal route planning and client coverage.
Assign the same days trips, if necessary, to drivers for clients.
Reassign trips to drivers if conditions change.

Step 2: Client Communication
Contact clients to confirm trip details, including pick-up time and location
Provide clients with necessary information about the trip.
Address any questions or concerns clients may have regarding their trips.
Occasionally a client will call to request our company to perform their trip. Communicate with the broker to procure the trip for the client. Be accommodating if the client prefers a certain driver.
You will be given a phone to deal with client emergencies. They can be as early as 5 am but this can be done remotely.

Step 3: Driver Coordination and communication
Assign drivers to specific trips based on availability, proximity, and vehicle.
Share the daily trip schedule with drivers, along with any relevant reminders or special instructions the afternoon before their work day
Be available to assist drivers in resolving issues that may arise during their trips. (Occasionally you’ll get a call earlier than 5am and have to respond and help solve the issue.)

Step 4: Billing and Records Management
Collaborate with brokers or facilities to address discrepancies in trip billing, client information, scheduling, and recorded mileage.
Each day double-check and verify driver-reported mileage and trips. Keep notes on discrepancies or issues each day.
Maintain detailed records of client preferences, issues and changes in spreadsheets and use this information when creating schedules.

Step 5: Communication and Availability
Check-in with the owners weekly to go over the week, issues, challenges, and strategy for growth
You’ll be required to use a project management system to keep communication, tasks and issues organized.
You’ll make work aids for all processes and procedures.
Responsible for influencing positive employee morale and quality customer service.
Be accessible to drivers, clients, facilities, and brokers for inquiries and assistance.
Utilize the project management system to track and ensure that critical steps in the transportation process are completed efficiently.

Step 6: Crisis Management and Driving
Effectively problem-solve issues for both drivers and clients, providing timely and practical solutions.

Step 7: Business Development & Growth Opportunity
Seek new clients: doctors’ offices, facilities, courier, referrals, lab work, other brokers, insurance agencies, schools, cities and private pay documents.
Encourage drivers to collect feedback and reviews from clients to improve the overall service quality.
Research for strategy and growth.. (heartship cases 2 a month)
