Job Description

RESPONSIBILITIES:
Administrative Support:
– Provide high-level administrative assistance to the Disposition Department Executive.
– Manage the executive’s calendar, schedule meetings, and coordinate appointments.
– Handle phone calls, emails, and other correspondence on behalf of the executive.
Document Management:
– Organize, maintain, and update departmental documents, contracts, and agreements.
– Ensure that all files are easily accessible and systematically stored.
Communication Liaison:
– Act as the primary point of contact between the executive and both internal and external stakeholders.
– Field inquiries, respond to requests, and convey messages to and from the executive.
Data Management:
– Assist in the collection, tracking, analysis, and reporting of departmental data.
– Maintain property listings, offers, and sales records, and generate reports as needed.
Project Coordination:
– Collaborate with the executive and team members to coordinate departmental projects.
– Ensure that tasks are assigned, deadlines are met, and resources are effectively allocated.
Market Research:
– Conduct research on real estate market trends, property values, and competitive analyses.
– Provide insights and data to assist the department in making informed decisions.

QUALIFICATIONS:
– Proven experience as an executive assistant or in a similar role, preferably within the real estate industry.
– Knowledge of real estate or property management is a plus.
– Strong organizational and time management skills, with the ability to multitask effectively.
– Excellent written and verbal communication skills.
– Proficiency in Microsoft Office Suite and other relevant software.
– Attention to detail and the ability to prioritize tasks.
– Self-motivated, with the ability to work both independently and as part of a team.
– High level of professionalism and a commitment to maintaining confidentiality.
