Job Title: Document Control Specialist – Project Based Contract – Ad hoc work

Overview:
We are seeking a detail-oriented and organized Document Control Specialist to join our team. The Document Control Specialist will be responsible for managing the documentation lifecycle, ensuring accuracy, completeness, and compliance with regulatory requirements and organizational standards. This role requires strong attention to detail, excellent communication skills, and the ability to collaborate effectively with cross-functional teams to maintain document control processes and systems.

Key Responsibilities:

-Collaborate with cross-functional teams, including quality assurance, regulatory affairs, engineering, and operations, to support document management activities and address document-related issues.
-Develop and maintain document control processes, procedures, and systems to ensure the orderly management of documents throughout their lifecycle.
-Manage document repositories, including electronic document management systems (EDMS), to ensure accurate and efficient storage, retrieval, and version control of documents.
-Coordinate the creation, review, approval, distribution, and archiving of documents, including policies, procedures, work instructions, specifications, and other controlled documents.
-Perform document reviews and quality checks to ensure compliance with regulatory requirements, industry standards, and organizational guidelines.
-Ensure that all documents are properly classified, indexed, and tagged for easy identification and retrieval.
-Facilitate document change control processes, including tracking changes, managing revision history, and ensuring timely implementation of document updates.
-Provide training and support to users on document control processes, systems, and best practices.
-Conduct periodic audits and inspections of document control processes and systems to ensure compliance with internal policies and external regulations.
-Stay current with industry trends, developments, and best practices in document control and information management.

Qualifications:

-Previous experience in document control, records management, or a related field, preferably in a regulated industry such as healthcare, pharmaceuticals, or manufacturing.
-Strong understanding of document control principles, practices, and standards, including document management systems and electronic document workflows.
-Proficiency in document management software and tools, such as SharePoint, Documentum, or similar systems.
-Excellent organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
-Attention to detail and accuracy in document processing, review, and distribution.
-Effective communication skills, both verbal and written, with the ability to collaborate with cross-functional teams and stakeholders.
-Ability to maintain confidentiality and handle sensitive information with discretion.
-Familiarity with regulatory standards and requirements (e.g., FDA regulations, ISO 13485) is a plus.
-Professional certifications in document control or records management (e.g., AIIM Certified Information Professional, ARMA Certified Records Manager) are a plus.
