Job Description

We are seeking a highly motivated individual to join our team as a Document Manager, working remotely from the Philippines. Responsibilities:

Document Control: Establish, maintain, and improve the company’s document control system in line with ISO 9001 and 27001 requirements.
Documentation Management: Oversee the creation, review, approval, distribution, and archiving of various documents, including policies, procedures, work instructions, and records.
Compliance Assurance: Ensure that all documents are up-to-date, accurate, and aligned with ISO 9001 and 27001 standards, and regularly monitor the organization’s compliance status.
Version Control: Implement version control procedures to track changes made to documents and maintain a historical record of revisions.
Document Retrieval: Facilitate easy access to essential documents for authorized personnel while maintaining confidentiality and security.
Auditing Support: Provide assistance during internal and external audits related to document management, ensuring all documentation is readily available and complies with the required standards.
Training and Communication: Conduct training sessions to educate employees on document management procedures and enforce adherence to the established system.
Continuous Improvement: Identify opportunities for process optimization within the document management system and contribute to its continual improvement.
Risk Management: Collaborate with relevant stakeholders to identify and mitigate potential risks associated with documentation processes and systems.
Requirements:

Education: Bachelor’s degree in a relevant field or equivalent work experience.
Excellent English communication skills required
Experience: Proven experience as a Document Manager, preferably with exposure to ISO 9001 and 27001 standards.
Knowledge: Familiarity with quality management systems, information security, and document control principles.
Organizational Skills: Exceptional organizational abilities with a keen eye for detail and accuracy.
Communication: Strong written and verbal communication skills to effectively interact with team members and stakeholders.
Tech-Savvy: Proficient in using document management software and other office productivity tools.
Problem-Solving: Ability to identify and resolve issues related to document management efficiently.
Compliance Awareness: Knowledge of relevant legal and regulatory requirements for document management in the Philippines.
Time Management: Demonstrated ability to handle multiple tasks and prioritize effectively to meet deadlines.
Security-Minded: Understanding of the importance of data security and confidentiality when handling sensitive documentation.
Terms of Employment (Philippines):

Employment Type: Full-time, remote work.
Work Hours: Full Time – 40 hours a week – GMT+8 Philippines Local Time
Holidays and Leaves: In accordance with Philippine labor laws.
Equipment and Resources: The contractor should have a computer that can be used to remote work
Communication: Regular communication and reporting with the team and superiors.
Termination: Termination terms will be in accordance with Philippine labor laws.
