There will be a 6-week (paid!) trial period pending “official” team member status. Think of the 6-week (paid!) trial as a chance for us to vibe together. At the end of this period, you’ll officially join the team. This part-time opportunity is just the beginning – as we expand, your role may evolve into a full-time position based on your skills and contributions to our growing family.

day in the life… (REGULAR TASKS)

Email Management:
– Triage and categorize emails.
– Organize and tag emails, including unsubscribing.
– Respond to emails as the client.
– Redirect emails and create a reference directory.
– Send requirements for orders or bids.
– Send thank you emails.
– Monitor inbox for spreadsheet updates.

Daily Filtering and Task Management:
– Create and prioritize tasks.
– Manage appointments and calendar events.
– Handle personal tasks and errands.
– Manage personal calendar.
– Order snacks and acquire receipts.
– Set routine appointments.

Bookkeeping and Document Management:
– Remind and follow up on receipts and invoices.
– Update and maintain files.

Administrative and HR:
– Reminder for employee benefits.
– Update employee files and communicate changes.
– Serve on the board and produce meeting minutes.

Project Management:
– Use spreadsheets, including WIP calculation.
– Review spreadsheet during team meetings.
– Add job codes and notes to projects.

Research and CRM Maintenance:
– Conduct research.
– Update contact info and maintain CRM.
– Ensure leads are active.

Customer Service and Ticketing System:
– Assist in ticketing for customer service.
– Redirect concerns and clean up data.

About You…. (PLEASE APPLY if you possess the following skills and attributes)

– 2-3 years supporting and managing executives with mid-level operations and project management expertise.
– Excellent project management, communication, and interpersonal skills.
– Ability to effectively manage up, providing strategic support
– LOVE systems/SOP/efficiency/automations
– Identifies opportunities to systematize processes, optimize efficiency, and contribute to overall company growth.
– organized nerd, loves to take care of their executives
– loves new tools, AI software self growth, curious mind
– Proficient in Excel or sheets
– comfortable using it, can research, and execute not so complex formula
– Basic bookkeeping experience
– Proactive Problem Solver:
– Identifies challenges, presents well-thought-out solutions & takes care of stuff
– Exceptional internet service
– Accustomed to working in Central Standard Time (CST), 8 am – 4 pm CST .
– Ability to effectively communicate issues and navigate chaos with a strong and engaging personality.
– Bachelor’s degree in Business, Marketing, Communications, or a related field.
