The E-Commerce Executive Assistant to the Chairman of the Board plays a pivotal role in supporting the e-commerce team and executives daily operations. The role involves providing administrative support, coordinating e-commerce activities, conducting market research, assisting in financial , sales reporting and developing Google Sheets reports for data analysis. The ideal candidate will possess strong organizational, analytical, and communication skills, along with proficiency in Excel and familiarity with e-commerce platforms.
Responsibilities:
Administrative Support:
Manage executives’ calendars, schedule meetings, and coordinate appointments related to marketing and financial activities.
Prepare and distribute correspondence, reports, presentations, and marketing materials for internal and external use.
Handle’s executives travel arrangements, accommodations, and logistics
Assist in personal errands, such as personal, banking, and household management.
Communication and Collaboration:
Serve as a liaison between executives, internal teams ensuring clear and timely communication.
Coordinate meetings, conference calls, and brainstorming sessions, including agenda preparation and document distribution.
Prepare and distribute meeting minutes, action items, and follow-up tasks to ensure accountability and progress tracking.
E-Commerce Coordination:
Support the planning, execution, and tracking of e-commerce campaigns, promotions, and product launches
Assist in the development and optimization of product listings, pricing, and promotional offers on e-commerce platforms.
Monitor e-commerce performance metrics, analyze sales data, and provide insights to identify opportunities for growth and improvement.
Market Research and Analysis:
Conduct research and prepare reports and presentations summarizing key findings, insights, and recommendations for marketing initiatives.
Financial Management:
Prepare and generate financial reports, presentations, and documents for executive review, ensuring accuracy and timeliness.
Operational Support:
Oversee day-to-day operational activities, including scheduling meetings, coordinating travel arrangements, and managing correspondence.
Collaborate with department heads to streamline operational processes, improve efficiency, and implement best practices.
Maintain inventory records, track supplies, and facilitate procurement activities as needed.
Assist in project management by organizing project documentation, tracking progress, and communicating updates to stakeholders.
Report Development:
Design and develop customized google sheet reports, dashboards, and templates to meet the needs of the executive across different departments.
Utilize advanced Excel functions, pivot tables, macros, and formulas to manipulate and analyze large datasets efficiently.
Ensure accuracy, consistency, and data integrity in reports by performing regular quality checks and validation procedures.
Data Extraction and Analysis:
Extract, clean, and transform data from multiple sources, including databases, spreadsheets, and software systems.
Analyze data trends, patterns, and outliers to identify insights, opportunities, and areas for improvement.
Conduct ad-hoc analysis and provide recommendations based on data-driven insights to support decision-making processes.
Qualifications:
Proven experience (3-5 years) as an Executive Assistant in
Proven experience (3-5 years) spreadsheet report development, data analysis, and business intelligence.
Advanced proficiency in Excel and Google Sheets, including knowledge of advanced functions (e.g., VLOOKUP, INDEX-MATCH, SUMIFS), pivot tables, charts, and macros.
Strong analytical and problem-solving skills, with the ability to translate complex data into actionable insights.
Familiarity with e-commerce platforms (e.g., Shopify, Magento, WooCommerce) and online marketplace channels (e.g., Amazon, eBay).
Attention to detail and a commitment to data accuracy and quality.
Excellent communication and interpersonal skills, with the ability to collaborate effectively with executives at all levels.
Self-motivated with a proactive approach to learning new tools and technologies.
Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
Proven ability to maintain confidentiality and handle sensitive information with discretion.
