We are small USA based company which manufactures ventilation, electrical wiring and air filtration equipment. We also sell our products directly to consumers via e-commerce platforms. We are growing fast and ship about 40-50 orders per week. We use Amazon (mostly FBA), Shopify, and Amazon Canada. We also plan to expand to Amazon Europe and the Middle East this year.
We need a full-time VA to help us with day to day E-Commerce operations, which include:
1. Order processing, shipment tracking, and inventory level monitoring to insure proper in-stock levels.
2. Answer customer support inquiries related to order fulfillment and basic product questions
3. Setting up Inbound Inventory Replenishment Shipments from our main warehouse to Amazon FBA warehouses
4. Monitoring and updating of Amazon and Shopify pages with the current information
In this job you will be dealing with a lot of tasks which are similar and recurring, they are not very complicated but require a good level of attention to detail. We don’t want to make mistakes and ship wrong product to customer, miss an order and have it unshipped for a long time or ship the order to the wrong address – which are 3 most common errors we have seen in the past. So ATTENTION TO DETAIL and keeping notes of the processed orders and their applicable tracking numbers is one of the key requirements for the job.
Here is an example of a daily process:
1. Process new orders on Shopify and Amazon Merchant Fulfilled channels. Based on the ordered items’ weight, dimension, and availability at the warehouse, generate shipping labels for these orders. Large orders of 200 lbs or more arrange truck shipping on a pallet for smaller items pick a shipping carrier that provides the most suitable rate (FedEx, UPS, USPS)
2. Create shipment workflow tickets in the warehouse management system and attach the shipping labels to the ship order tickets
3. Verify that the shipping carriers have picked up all shipped orders from the last 3 days. If any shipments are delayed or not picked up, please follow up with the warehouse. Update Shopify orders with tracking numbers if tracking didn’t populate automatically.
4. Review Amazon FBA inventory levels once every week and report SKUs with less than 40 days of inventory in FBA. Update the tracker list with such SKUs and generate set up inbound inventory shipments to FBA via LTL carriers.
5. Keep updated logs of all truck shipments with the tracking numbers and Estimated Time of Arrivals (ETAs) dates to Amazon
6. We really mean it when we said above that attention to detail is essential for this job, so as an attention test, please do this: Please answer the following two questions when you reply to this job posing. What is a inline fan or a duct fan? What is the dimensional pricing for UPS/FedEx and when does dimensional pricing applies to shipments?
7. Review warehouse inventory levels and report on any SKUs which have less than three months of inventory at the current sales velocity. Update the list of SKUs requiring a replenishment order from the supplier.
Our goal is to find a VA who is 1. Reliable (show up to work 5 days per week at an agreed upon time and work for at least 6-7 hours), 2. Attentive to details and can avoid costly mistakes and 3. Self-sufficient and can work with less supervision once they are comfortable with their job. You must be a motivated self-starter and quick on your feet. Knowing basic mathematics and calculating shipping costs quickly using excel is a plus. We use multiple software products such as FreightPop, Shopify Shipping Manager, and Amazon Multi-Channel Fulfillment to process our orders. The first four weeks will be a trial period for evaluation of the candidates, after which we will be able to determine whether we can work long-term or not. Starting salary $500 USD per month for 40 work hours per week.
