Job Overview:
We are seeking a versatile and proactive Executive Assistant to provide comprehensive administrative support for a US based Locksmith company. The ideal candidate will not only possess excellent organizational and communication skills but also have a strong background in administrative tasks, ensuring the smooth operation of our consulting business. Applicants will only be considered if they have worked for and understand the locksmith business.
Responsibilities:
Calendar Management:
• Coordinate and manage the consultant’s calendar, ensuring efficient scheduling of appointments, meetings, and travel arrangements.
• Proactively handle any conflicts or adjustments to the schedule, keeping the consultant informed and prepared for upcoming commitments.
Communication:
• Act as the primary point of contact for internal and external communications on behalf of the consultant.
• Draft, proofread, and edit correspondence, reports, and presentations with a high level of accuracy and professionalism.
Meeting Coordination:
• Arrange and coordinate meetings, both on-site and virtual, ensuring all necessary resources and materials are prepared in advance.
• Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion.
Travel Management:
• Coordinate all travel arrangements, including flights, accommodations, and ground transportation, ensuring a seamless travel experience for the consultant.
• Maintain travel itineraries and provide necessary documentation and information.
Administrative Support:
• Assist in the preparation and organization of documents, reports, and presentations.
• Handle general administrative tasks, including filing, data entry, and office organization.
• Act as a liaison between the consultant and internal/external stakeholders.
Information Management:
• Organize and maintain confidential files, records, and documentation.
• Conduct research and compile data as needed to support the consultant in decision-making processes.
Task Prioritization:
• Prioritize and manage multiple tasks simultaneously, demonstrating flexibility and adaptability in a fast-paced environment.
• Anticipate and address potential challenges or obstacles in a proactive manner.
Qualifications:
• Proven experience as an executive assistant or in a similar administrative role.
• Exceptional organizational and time-management skills.
• Strong verbal and written communication skills.
• Proficiency in Microsoft Office Suite and other relevant software applications.
• Discretion and ability to handle sensitive information with confidentiality.
• Ability to work independently and as part of a collaborative team.
• Experience working with senior-level executives.
• Knowledge of project management tools and techniques.
