We’re on the lookout for an experienced coordinator with experience in eCommerce Operations to join our team and help keep things running smoothly for our jewelry brand. As the Operations Associate, he/she will handle tasks like managing suppliers, inventory, and purchases, optimizing our processes, and managing OPS-related projects/initiatives.

Key responsibilities:
1. Supply Chain
a. Purchasing: Issue purchase orders to suppliers, monitor production schedules, and forecast inventory levels based on sales trends.
b. Logistics: Track and monitor inbound shipments, ensuring timely delivery and accurate documentation. Track landed costs, monitor shipment progress, and resolve any issues that may arise during the transportation of goods.
c. Inventory Management: Utilize inventory and order management software to maintain accurate stock levels and clear reporting.
2. Fulfillment & Returns
a. Utilize software tools to streamline shipping and fulfillment processes. Monitor backorders, shipments, minimize shipping charges, and ensure shipments are delivered accurately and on time.
b. Returns Management: Overhaul and streamline the customer returns processes to ensure a positive returns & exchange experience.
3. Product Management: Maintain an accurate and updated record of all products in the SKU database including physical properties, costing, design information, etc. Assist with new product launches and phase-out of products on all platforms.
4. Customer Support: Provides customer support assistance by effectively communicating in spoken English, and engaging with customers and business partners beyond email interactions.
5. Process and Project Management:
a. Create and streamline various operational processes using software tools, workflow mapping, and documentation. Collaborate with cross-functional teams to streamline and document processes related to product launches or re-launches.
b. Project Management: Oversee operations-related projects under the direction of senior management as requested including software implementation, workflow changes, product rollouts, and more.
Software/Tools:
– Inventory management
– Shopify or other ecommerce platforms
– Project management app (ClickUp or similar)
– Logistics (ShipStation or similar)
Skill set:
– Strong analytical ability and comfortable working with spreadsheets and data to develop actionable insights.
– Attention to detail and pattern recognition. Can easily spot things that are out of place or don’t make sense.
– Process-driven and can quickly understand workflows, identify bottlenecks, and develop solutions to potential issues
– Organized and effective at managing his/her time well
– Entrepreneurial – develops a vision, and takes ownership of projects & tasks, and works independently until they are completed
– Innovative, creative, and resourceful
– Proactive in identifying potential issues and resolving them before they become a problem.
Experience:
– 2-4+ years in ecommerce, purchasing, logistics, supply chain, or business operations
– 1-3+ years of project management experience, with demonstrated ability to plan and execute projects independently.
– Familiarity with purchasing, logistics, supply chain, or physical product-based businesses
