Job Overview:
We are seeking an Email Inbox Manager to efficiently and effectively respond to and manage our organization’s email communication. This role is critical to ensuring timely and appropriate responses to emails, maintaining clear and organized correspondence, and upholding email etiquette standards.
Key Responsibilities:
Email Response Management:
Professionally and promptly respond to incoming emails in accordance with established guidelines and templates.
Tailor responses to the specific needs and inquiries of email senders.
Email Organization:
Maintain an organized email inbox by categorizing and archiving emails appropriately.
Ensure all emails are tagged or labeled based on predefined criteria for easy retrieval.
Email Etiquette Compliance:
Enforce and maintain email etiquette and communication standards within the organization.
Train team members on effective email communication practices when necessary.
Email Filtering and Prioritization:
Prioritize incoming emails based on urgency and importance.
Filter out spam and irrelevant messages to maintain a clutter-free inbox.
Communication Liaison:
Collaborate with different teams and departments to facilitate effective communication.
Forward relevant emails to appropriate team members for follow-up or additional action.
Inbox Maintenance:
Regularly review and update inbox rules and filters to adapt to changing communication needs.
Identify and report any technical issues or malfunctions related to email systems.
Data Security and Confidentiality:
Ensure that sensitive information and confidential emails are handled with utmost discretion.
Follow and enforce security protocols related to email communication.
Qualifications:
Excellent written communication skills.
Strong attention to detail and a high level of accuracy.
Ability to work independently and as part of a team.
Familiarity with email management software and tools.
Understanding of data security and confidentiality.
Preferred Qualifications:
Prior experience in a similar role, particularly in email response management.
Knowledge of email marketing best practices.
Proficiency with email filtering and automation tools.
Familiarity with customer relationship management (CRM) systems.
