Job Description

Multiplymii is in search of an Executive Assistant who will be working with our client based in the US. Our client is a novelty sock brand that specializes in making a statement and features bold designs and quirky messages. In this role, you will play an integral role in supporting the success of the client by providing a variety of administrative support services and tracking critical business activities and strategic projects. 

Beyond your experience, we are also looking for someone who possesses impeccable English language communication skills in both written and verbal. We’re also looking for someone who’s into pop culture and has a good sense of humor. It’s important that you bring an upbeat and youthful vibe that matches the brand personality of our client.

This role is 100% work from home.

In this role, you will:

Daily tasks
Monitoring and responding to social media comments and tags
Managing the Founder’s inbox and calendar
Weekly tasks
Preparing agenda topics and taking notes during weekly team meetings on Thursdays
Sorting and sharing inventory reports with the Founder
Tagging AmEx expenses
Monthly tasks
Reviewing financial statements for accuracy
Checking new products on the website for errors
Monitoring staff and family birthdays and special days
Reviewing credit card or bank statements
Monitoring website functionality
Reviewing timeclock hours for inconsistencies
As needed/ongoing:
Following up with staff on projects/tasks without a clear end date
Ensuring SOPs for all activities
Monitoring purchase order delivery status
Communicating with vendor partners and managing vendor agreement paperwork
General paperwork
Finding and vetting suppliers
Creating sales reports
Building outreach lists (ex. Contact info – email, phone – for all roller skating rinks in the USA)
Tracking and reporting email marketing performance
Managing the company calendar, holidays, and scheduling team outings (LA team)
Build a schedule of recurring tasks for business (ex. Schedule physical inventory, renew insurance, pay SoS taxes, etc.)
Renewing insurance
Booking travels
Adding Purchase Order details to new product development kanban as POs are submitted
Organizing trade shows
Onboarding new vendor partners
Planning and executing holiday gifting to vendor partners
Ensuring new hire paperwork is completed and filed correctly
Alerting the accounting agency of approved staff vacation days
Pulling and sharing reports and data with vendor partners and team
Managing personal commitments and recurring payments
Deduping contacts in the phone.

About You:

Core qualifications:

A minimum of 3 years of experience as an Executive Assistant or Project Assistant
Strong written and verbal communication skills
Ability and willingness to work remotely
Self-motivated and enthusiastic about learning new skills
Advanced computer skills, including proficiency with GSuite (email, drive, docs, and sheets)
Experience with Airtable, Shopify, Loom, and Slack is a big plus
Comfort with numbers and quantitative analysis is a bonus
