**Job Overview:**
We are seeking a highly organized and detail-oriented Executive Virtual Assistant to provide comprehensive administrative support to our boutique accounting firm and real estate company. The ideal candidate will have a strong background in administrative tasks, excellent communication skills, and a willingness to gain an understanding of tax and accounting practices.
**This position is currently part time but could turn into full time for the right candidate**
**Key Responsibilities:**
1. **Administrative Support:** Manage and organize calendars, schedule appointments, and coordinate meetings. Handle correspondence, including emails and phone calls, ensuring timely responses.
2. **Client Interaction:** Serve as the first point of contact for clients. Provide information on services, handle inquiries, route source documents to the appropriate teammates and ensure excellent client service. Onboard new clients.
3. **Document Management:** Prepare, organize, and maintain tax documents, accounting records, and other important files. Ensure accuracy and confidentiality in handling client information.
4. **Financial Tasks:** Assist in basic accounting duties such as invoicing, tracking expenses, and preparing reports. Coordinate with the accounting team for more complex tasks.
5. **Meeting Preparation:** Prepare agendas, take minutes during meetings, and follow up on action items. Organize and manage virtual meeting platforms.
6. **Project Management:** Assist with ongoing projects within the firm, ensuring deadlines are met and objectives are achieved.
7.**Research and Compliance.**Collect and analyze data to prepare reports and documents.
8.**Policies and Procedures.**Review operating practice and implement improvements where necessary.
9.**CRM management.**Update and maintain databases such as mailing lists, contact lists and client information.
**Qualifications:**
– Proven experience as an Executive Assistant, preferably in a tax or accounting firm.
– Excellent organizational and time management skills.
– Proficiency in Microsoft Office Suite.
– Outstanding verbal and written communication skills.
– Ability to handle sensitive information with discretion.
**Work Environment:**
– This is a remote position requiring a stable internet connection and a suitable home office setup.
