Role Summary
As the Events Account Manager at Loveluxe Events, you’re not just joining a team – you’re becoming the indispensable right-hand to our visionary founder and Experience Curator. Your pivotal role empowers her to make high-level decisions and provide you the ideas to execute on, freeing her up to focus on what she does best while you handle the nitty-gritty of project management, task management and organization for our retreat clients.

Our event portfolio? They’re such a vibrant mix! From serene yoga retreats to high-powered business meetings, our portfolio spans the spectrum. And while jet-setting to exciting destinations with all expenses covered could be on the table, it’s not mandatory but I mean…why not?!

Job Description:

Project + Data Management:
– Utilize company templates to create event Roadmaps and Event Planners, providing detailed event outlines to guide the team throughout the entire curation and execution process.
– Utilize company templates to build and manage digital project management boards for event planning process visibility and client transparency, utilizing tools such as Asana, Teamwork, Monday, or similar.
– Keep client files, contracts and important documents filed neatly within the google drive folder.
– Managing event budgets to ensure the event doesn’t cost more than originally planned.
– Experience Curating / Logistics & Operations
– Co-organize and co-manage all event’s details such as decor, catering, entertainment, transportation, location, special guests, equipment, promotional material etc alongside Experience Curator.
– Conduct deep dive research for destination and property selection.
– Source custom-branded retreat swag and generate swag ideas aligned with the event’s vision and brand.
– Source and book special events, activities, and immersive experiences in the surrounding areas of the event.
– Create Attendee Travel Guide’s or Know Before You Go PDFs, utilizing company templates and assigning to graphic designers for completion.

Delegation:
– Oversee tasks that you or the Experience Curator delegate to the company virtual assistant. VA can be used at your disposal for support with the following tasks;
—– Event cancellation and liability insurance quote options for clients.
—– Research for destination and property selection
—–Swag sourcing & Sponsorship Outreach
—- Activity and special event research
—- Sending Request for Proposals (RFPs) to venues
—–Vendor research

Communication:
– Propose ideas to improve provided services and event quality
– Source, manage and communicate with all vendors, suppliers and speakers before, during and after the event
– Serve as the venue and vendor liaison and point of contact
– Integrate with client team members to ensure cohesive collaboration
– Attend weekly/biweekly 1:1 meetings with Raven and/ possibly the client to provide event updates and progress

Schedule:
Up to 100 hours per client event spread across 3-6 months of planning. This schedule is flexible to change based on your desired client portfolio. Ideal working hours are eastern standard time working hours but it’s not a must.

Preferred Experience
Online/Digital Savvy: Proven experience in the online/digital realm, navigating the digital landscape with ease.
Event/Travel Planning Pro: Previous event planning experience or a genuine love for crafting unforgettable travel experiences.
Project Management Whiz: Well-versed in project management tools like Asana for seamless coordination and organization.
Google Workspace Familiarity: Comfortable using Google Workspace for efficient collaboration and communication.
Negotiation Skills: Skilled at negotiating rates for excursions, activities, third-party vendors, and venue contracts. Can I speak to a manager please? ????

– Tech-Savvy: Navigates events management software, spreadsheets, and email with ease, ensuring smooth digital event planning.
– Budget Boss: Keeps spending in check and sticks to budgets like a pro, making sure every event is financially savvy.
– Risk Aware: Has a good feel for spotting common sense potential legal issues and takes steps to address them before they become a problem.
– Friendly Networker: Builds FUN relationships with vendors, suppliers, and clients, helping the business grow and bringing in new customers
