Position Title: Event Marketing Coordinator

About the role
As an Event Marketing Coordinator, your role involves coordinating with stakeholders and
suppliers to plan and organize the marketing aspects of various GSP events on a global
scale. This role combines event planning, communication, and vendor management skills
with the flexibility of remote work. It involves close collaboration with GSP leaders and the
internal Global Marketing Team to ensure the success of each event.
Responsibilities:
-Maintain regular communication with event owners/primary contacts to understand
their event requirements, provide updates, and address concerns.
-Source and contact suppliers to obtain competitive prices for collateral printing and
merchandise production while ensuring timeliness and quality.
-Keep the Global Marketing Executive informed about updates and any obstacles
encountered during event organization.
-Take the initiative to follow up with vendors or suppliers who haven’t responded, using
methods such as calls, emails, and online chat, to prevent any production delays.
-Proactively initiate follow-ups with the finance team, primary contacts, or purchase and
design approvers to ensure timely approvals and payments, avoiding any delays.
-Coordinate with the design team to ensure artwork requirements such as backdrops,
brochures, flyers, merchandise, and banners are provided on time.
-Assist the Global Marketing Executive in managing event budgets, tracking expenses
and ensuring that events stay within budgetary constraints.
-Assist in setting up virtual events, webinars, and online conferences, typically using
platforms like Zoom.
-Assist in the creation of promotional and marketing materials to attract participants
and attendees as needed.
