Job Overview:
20 hours per week (with the ability to grow to 30 or 40 hours per week), fully remote, contractor position, Eastern Standard Time hours)

We are seeking a highly organized and detail-oriented Event Planner Assistant to join our dynamic team. The ideal candidate will play a crucial role in supporting the event planning process, focusing on tasks such as finding suitable activities, screening restaurants for dietary restrictions, creating budget comparison spreadsheets, building agendas, confirming reservations, and managing client-facing documents.

Responsibilities:

Activity Research:
Identify and research activities near the event location that align with the client’s preferences and budget constraints.
Provide detailed information on potential activities, including pricing, availability, and any relevant restrictions.

Restaurant Screening:
Conduct thorough screening of restaurants to ensure they meet dietary restrictions and preferences outlined by the client.
Maintain a database of approved restaurants and their offerings.

Budget Management:
Create detailed budget comparison spreadsheets to help the event planner make informed decisions.
Work closely with the event planner to ensure all expenses are within the specified budget.

Agenda Development:
Collaborate with the event planning team to build comprehensive agendas for events.
Ensure agendas are well-organized, adhere to timelines, and incorporate client preferences.

Reservation Confirmation:
Coordinate with vendors, venues, and service providers to confirm reservations.
Handle any necessary adjustments and communicate changes to the event planner.

Document Creation:
Develop client-facing documents, including proposals, itineraries, and other materials.
Ensure all documents are professionally presented and align with the client’s expectations.

Data Compilation:
Utilize historical data and scrape past event agendas to create master spreadsheets.
Extract relevant information to improve efficiency in future planning processes.

Qualifications:
Previous experience in event planning or a related field is preferred.
Strong organizational and multitasking skills.
Excellent attention to detail and problem-solving abilities.
Proficient in Google Suite, Microsoft Office Suite and other relevant event planning software.
Effective communication skills, both written and verbal.
Ability to work collaboratively in a fast-paced environment.
