Job Overview:
We are currently seeking a Virtual Assistant to join our Event Team and support our growing business. We are an event company specialising in decorating, planning, styling and coordinating events (large and small) for all genres of events such as weddings, corporate events, product launches, activations etc.
The ideal candidate is a self-motivated, detail-oriented individual with excellent organisational and communication skills. As a Virtual Administration Assistant, you will play a crucial role in ensuring the smooth operation of our administrative and sales processes, allowing our creative team to focus on delivering exceptional events.
– You will need to have your own computer with high speed internet.
– You will also need to be available to work during Australian Business Hours, and possibly after hours (dependant on the projects at the time).
– You will be proficient in using the following: , Xero, Microsoft Office, Google workspace.
– Experience in the events industry is favoured.
Responsibilities:
Administrative Support:
– Manage and organise virtual files, documents, and databases.
– Handle email correspondence and respond to enquiries promptly.
– Schedule and coordinate virtual meetings, appointments, and conference calls.
Client Communication:
– Maintain clear and professional communication with clients, vendors, and team members.
– Assist in preparing client proposals, quotes, contracts, and invoices.
– Lead management.
– Calendar Management:
– Coordinate event timelines and deadlines.
– Schedule and track appointments for team members.
Data Entry:
– Input and update client information, project details, and other data as needed.
– Support Event Planning Team:
– Assist in the preparation of event logistics and documentation.
– Collaborate with the event planning team to ensure seamless execution of events.
Qualifications:
– Previous experience as an administrative assistant or in a similar role.
– Excellent written and verbal communication skills.
– Proficient in virtual communication tools (email, video conferencing, etc.).
– Strong organisational and time-management skills.
– Ability to work independently and meet deadlines.
– Familiarity with event planning or the hospitality industry is a plus.
