Job Description

The Events Virtual Admin will be responsible for assisting with all aspects of event management and administration for 1 Club. The primary focus of this role will be to handle the operational tasks related to setting up and promoting events, as well as managing communication with sponsors. Additionally, the Events Virtual Admin will support the prospecting efforts by creating lists of potential sponsors and companies for the community. The ideal candidate should be highly organized, detail-oriented, and proficient in various tools and platforms such as Mailchimp, Google Forms, , Canva, and Ticket Tailor.

Responsibilities:

– Send out information requests to sponsors, such as emailing them to fill in a Google Form Template.
– Set up all the pages for the 4 free events per month, including adding event information, privacy policy details, logos, and reminders.
– Create Canva images for events and set up LinkedIn post copy.
– Set up Ticket Tailor for paid events (e.g., breakfasts), ensuring correct information is added and pages are up and running.
– Follow up with sponsors after events and schedule debrief calls.
– Assist with LinkedIn and email prospecting by creating a list of potential sponsors, identifying key people, and creating a database for outreach.
– Compile a list of potential companies for the community by researching and identifying companies at a specific stage and in a particular geography.
– Find website domain names and CEOs’ first names to create email addresses for contact.
– Maintain a spreadsheet with CEOs’ LinkedIn profiles.
– Provide support in organizing meetings and scheduling.

Requirements:

– Previous experience in event management or administration is preferred.
– Proficiency in using Mailchimp, Google Forms, , Canva, and Ticket Tailor.
– Excellent organizational and time management skills.
– Strong attention to detail.
– Ability to work independently and meet deadlines.
– Good communication skills, both written and verbal.
– Familiarity with prospecting and database management.
– Proficient in using LinkedIn for research and outreach.
– Ability to handle confidential information with discretion.

Non negotiable’s for this role:

– Previous successful experience with events management (quantitative data to show this will be appreciated).
– Familiarity with content creation tools and software mentioned above.
– Previous successful experience with Linkedin and email prospecting.
