Job Title: Executive Administrative Assistant – Talent Acquisition

We are currently seeking an experienced and highly motivated Executive Administrative Assistant to join our team and support our talent acquisition efforts, as well as provide assistance to our CEO.
Job Description:
The Executive Administrative Assistant – Talent Acquisition will play an integral role in our organization’s hiring process, specifically focusing on the coordination and scheduling of job interviews, screening job candidates for various managerial roles, and providing support to our CEO. The successful candidate will have exceptional communication and organizational skills, a keen eye for detail, and the ability to manage multiple tasks simultaneously in a fast-paced environment. This role requires a proactive and resourceful individual who can take initiative and ensure smooth operations within our hiring process and CEO’s schedule.
Key Responsibilities:
Talent Acquisition Coordination
Review incoming job applications and screen candidates for managerial roles, including Sales Reps, Marketing Manager, Purchasing Manager, and Sales & Marketing Manager
Schedule and coordinate interviews for prospective candidates via Zoom or other video conferencing platforms
Communicate effectively with candidates, hiring managers, and internal stakeholders throughout the recruitment process
Assist with the preparation and distribution of job postings, interview materials, and other relevant documentation
Calendar Management
Manage and maintain the CEO’s calendar, ensuring appointments, meetings, and events are scheduled, updated, and organized efficiently
Coordinate and schedule Zoom calls, conference calls, and video conferences for the CEO, ensuring all necessary attendees receive appropriate meeting invitations and materials
Prioritize and manage incoming meeting requests and correspondence, ensuring timely responses and appropriate delegation when necessary
Client and Lead Coordination
Communicate effectively with clients, leads, and internal stakeholders to schedule appointments, meetings, and calls
Develop and maintain strong relationships with clients and leads, ensuring a high level of customer service and satisfaction
Maintain a comprehensive contact database for clients and leads, ensuring accurate and up-to-date information
Qualifications:
Bachelor’s degree or equivalent experience in business administration, human resources, communications, or a related field
Minimum of 3 years of experience in an executive support role, with a focus on talent acquisition or recruitment preferred
Strong proficiency in Microsoft Office Suite and Zoom, with experience in scheduling and coordinating virtual meetings
Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization
Exceptional organizational and time management skills, with the ability to prioritize tasks and work independently
High level of discretion and ability to handle sensitive and confidential information
