POSITION SUMMARY
An Executive assistant will provide comprehensive administrative and clerical support to high-level executives and professionals. Your role will be crucial in ensuring the efficient and smooth operation of their daily activities and responsibilities. You will work remotely, using various communication and collaboration tools to maintain effective communication with the executives and the rest of the team.
This position is 100% remote.

OBJECTIVES:
– Organize and manage the executives’ schedules, appointments, meetings, and conference calls. Ensure that the calendar is up-to-date and accurate.
– Handle emails, phone calls, and other correspondence on behalf of the executives. Prioritize and respond to inquiries, requests, and messages in a timely and professional manner.
– Prepare and edit documents, presentations, reports, and spreadsheets as required. Ensure documents are well-formatted, accurate, and organized.
– Conduct research on various topics to provide executives with relevant information for decision-making, presentations, and projects.
– Schedule, prepare materials for, and attend meetings. Take meeting minutes, track action items, and follow up on deliverables.
– Organize, maintain, and update databases, contacts, and files. Keep confidential information secure and accessible as needed.
– Manage access to the executives by screening calls, visitors, and requests. Prioritize and route important matters appropriately.
– Help the executives prioritize tasks and manage their time effectively. Provide reminders for upcoming deadlines and commitments.
– Assist with miscellaneous tasks and projects as they arise. Adapt to the dynamic needs of the executives and the organization.
COMPETENCIES:
– Proven experience as an Executive Assistant or Virtual Assistant supporting high-level executives for more than 3yrs.
– Excellent communication skills, both written and verbal.
– Strong organizational and multitasking abilities.
– Proficiency in using virtual communication tools, office software (e.g., Microsoft Office, Google Workspace), and project – management platforms.
– High level of confidentiality and professionalism.
– Strong attention to detail and problem-solving skills.
– Ability to work independently, prioritize tasks, and meet deadlines.
– Flexibility to accommodate different time zones and varying workloads.
