Position Overview:
As an Executive Assistant, you will be an integral part of our executive team, providing comprehensive administrative support to our Managing Director (MD). This role demands a proactive and resourceful professional who can handle a wide range of responsibilities with precision and efficiency. In addition to traditional executive assistant duties, this position places special emphasis on your ability to coordinate tasks/projects, conduct web research, collect data, and build reports. You will serve as a trusted partner to the MD, enabling them to focus on strategic initiatives while managing daily operations seamlessly.

Responsibilities:
– Act as a gatekeeper and manage all incoming communications, screening and prioritizing emails/requests to ensure the MD’s time is optimized.
– Coordinate and manage complex calendars, schedules, and travel arrangements, ensuring all arrangements are efficiently organized and executed.
– Conduct web research and compile data to support strategic decision-making, utilizing various online resources and databases.
– Prepare and edit correspondence, presentations, reports, and other documents, maintaining a high level of accuracy and professionalism.
– Coordinate and lead tasks/projects, collaborating with cross-functional teams to ensure successful completion within designated timelines.
– Assist in organizing and coordinating high-level meetings, conferences, and events, including logistics, agendas, and follow-up actions.
– Build comprehensive reports and presentations, analyzing and summarizing data to provide valuable insights and recommendations.
– Liaise with internal and external stakeholders, fostering strong relationships and representing the MD professionally and diplomatically.
– Handle confidential and sensitive information with the utmost discretion and maintain strict confidentiality at all times.

Requirements:
– Bachelor’s degree in Business Administration, Communications, IT or a related field (preferred).
– Proven experience as an Executive Assistant or similar role, supporting C-level executives.
– Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
– Strong attention to detail, with excellent written and verbal communication skills.
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
– Demonstrated ability to coordinate moderate-to-high complexity tasks, conduct web research, collect data, and build reports.
– Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
– Impeccable professionalism, with outstanding interpersonal skills and the ability to build relationships at all levels.
– Discretion and integrity when dealing with confidential information.
