Job Description

We are Katuva, a VA placement agency based in Idaho. We are currently seeking to hire a highly experienced and dedicated Executive/Administrative Virtual Assistant to assist our client, who is a key player in the machine manufacturing sector specializing in solutions for the liquid dairy and beverage industry. This is a long-term full time employment, and we will only entertain candidates who can fully commit to the role.

Job duties and responsibilities include the following:

1. List Building
• Utilize scraping software to assemble and maintain client lists.
• qualify and categorize the gathered leads for effective targeting and engagement strategies.

2. Email and Communication Management
• Manage and organize emails, prioritizing important communications.
• Draft and respond to emails on behalf of the client as needed.

4. Maintain the client’s calendar using Microsoft Outlook
• Scheduling appointments, meetings, and calls.
• Coordinate logistics for meetings,

5. Document and File Management
• Organize and maintain digital and physical files using Microsoft OneDrive, ensuring easy access and retrieval.
• Prepare and edit documents, presentations, and reports using Microsoft Office Suite, including Word, Excel, and PowerPoint.

6. EOS Integration
• Ensure all tasks and processes within the role align with the Entrepreneurial Operating System (EOS) principles, focusing on • efficiency, accountability, and streamlined workflows.

7. Project Coordination and Support
• Support ongoing projects by coordinating tasks, deadlines, and deliverables.

8. Basic Content Creation and Design as assigned
• With the creative groundwork already in place, utilize Canva Pro and existing creative resources to support marketing efforts.
• Create copy using the Open AI tool

9. General administrative support, such as research, data entry, invoice processing, expense tracking, and other ad hoc tasks to assist the management team.

Qualifications:
• Proven experience as an Executive/Administrative Assistant.
• Proficiency in Microsoft Office Suite, Microsoft Outlook, and OneDrive.
• Experience with scraping software and Canva Pro is a plus.
• Strong organizational and communication skills.
• Ability to work independently and prioritize tasks effectively.
• Familiarity with EOS principles is preferred.
