We are a leading-edge law firm located in Australia with international offices in New Zealand and the Middle East. Pioneering digital and online technology, we have transformed into a fully electronically-enabled law firm.

We seek a highly organized, tech-savvy Executive/Personal Virtual Assistant to support a busy lawyer. The ideal candidate is proactive, detail-oriented, and adept at managing various tasks to enhance the lawyer’s productivity.

Key Responsibilities:

1. Administrative Support:
• Manage and maintain the lawyer’s calendar, scheduling appointments, meetings, and reminders.
• Handle email correspondence, prioritize messages, and draft responses as needed.
• Organize digital files for easy access to important documents.
2. Research and Information Management:
• Assist with setting up and troubleshooting technology tools, software, and devices.
• Manage and organize digital documents using cloud-based storage and document management systems.
3. Communication and Client Support:
• Screen and manage phone calls, taking detailed messages when required.
• Liaise with clients, other law firms, and professionals on behalf of the lawyer.
4. Travel and Expense Management:
• Coordinate travel arrangements and handle expense reporting.
5. Personal Assistance:
• Assist with personal tasks such as managing appointments, reservations, and personal errands.
• Maintain confidentiality and discretion when handling personal matters.

Qualifications:

• Minimum 1 year of experience as an executive or personal assistant.
• University/College degree graduate
• Strong tech skills, including proficiency in Microsoft Office, legal software, and cloud-based tools.
• Excellent organizational and multitasking abilities.
• Exceptional written and verbal communication skills.
• High level of discretion and ability to handle sensitive information.
• Self-motivated and proactive with the ability to work independently.
• High-speed internet connection and a designated workspace
• A noise-cancelling headset is required
• Experience in Zoho One Suite, desirable but not required, training will be provided

• You will be required to provide your own computer that must meet the following requirements: Windows 10 and Office 365. Computer requirement is 8GB RAM or higher and processor should be CORE i3 and above as our minimum requirement or equivalent, and 1 TB HDD or SSD drive

• You will be required to have your own high-speed internet connection and a backup system or data plan that will be required for any internet outages, preferably with 5G connection or equivalent.

• You will be required to have your own designated workspace that will allow you to focus on your workday and commitments that will require you to engage with clients from around the country, therefore requiring a quiet workspace as well as a noise-cancelling headset.

• Ability to work in the Australian time zone

Benefits:
• Full-time employment with a minimum of 48 working hours per week

Place of Work:
• Remote work – Employee to supply their own PC/Phone/Internet and to install any required software on their phone or GPS location to enable sign-in and sign-out of work and to track all tasks, activities, and projects worked on.
