You will be a key member of a growing team focused on the satisfaction of our clients with systems that drive revenue for our agency as well as serving our clients. We’re seeking an exceptional virtual administrative assistant to schedule calls, do follow up and help maintain open communication with new and existing clients.
This is NOT your average assistant role. Key Responsibilities:
Lead Management: Schedule, confirm, and manage appointment bookings using our digital platform.
Communication: Answer inquiries via email, phone, and social media channels, providing knowledgeable responses about our company, pricing, and policies.
Data Management: Update and maintain records, ensuring confidentiality and compliance with data protection regulations.
Billing & Invoicing: Send out invoices, process payments, and follow up on outstanding bills.
Reports & Analysis: Prepare weekly and monthly reports on appointment bookings, feedback, and other relevant metrics.
Continuous Learning: Stay updated with the latest technologies to better assist clients.

Qualifications:
Proven experience as an executive assistant.
Proficiency in MS Office (MS Excel and MS Word, in particular) and knowledge of relevant software (e.g., GHL, Slack, Monday, etc)
Strong organizational skills with a problem-solving attitude.
Excellent written and verbal communication skills.
Ability to work independently with minimal supervision.
Familiarity with the marketing industry is a PLUS.
Experience in systems and operations is a PLUS
