Job Description

Job Title: Remote Executive Assistant/Virtual Assistant
Schedule: 10pm to 7am MNL

Job Overview:
As a Remote Executive Assistant to the CEO, you will play a crucial role in supporting the CEO in their day-to-day activities and ensuring the smooth functioning of the executive office. You will work remotely, providing comprehensive administrative and organizational support to facilitate the CEO’s productivity and effectiveness. This position requires strong communication, time management, and problem-solving skills, as well as the ability to handle sensitive and confidential information with discretion.

Responsibilities:

Calendar Management:
Maintain and manage the CEO’s schedule, including organizing meetings, appointments, and events.
Coordinate and schedule calls with internal and external stakeholders.
Ensure the CEO’s time is optimized by prioritizing tasks and managing potential conflicts.

Communication and Correspondence:
Handle all incoming and outgoing communications on behalf of the CEO, including emails, phone calls, and written correspondence.
Draft and proofread emails, memos, reports, and other documents as required.
Filter and prioritize communication, flagging urgent matters for the CEO’s attention.

Meeting Support:
Prepare meeting agendas, materials, and presentations for internal and external meetings.
Take meeting minutes, track action items, and follow up on tasks to ensure completion.

Project Management:
Assist the CEO in managing various projects, ensuring deadlines are met, and progress is tracked.
Collaborate with different departments and teams to gather information and provide updates.

Confidentiality and Discretion
Handle confidential information with the utmost discretion and professionalism.
Maintain strict confidentiality in all matters related to the CEO and the organization.

Research and Analysis:
Conduct research on various topics and prepare reports or summaries for the CEO.
Gather data and information to support decision-making processes.

Miscellaneous Support:
Assist with personal tasks or errands upon request, maintaining a professional approach at all times.
Perform administrative duties, such as filing, record-keeping, and office organization.

Qualifications and Requirements:
Candidates MUST have GREAT communication skills
Candidates MUST have experience working GY Shift/Night Shift
Can do interview from 11pm to 6am MNL
Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
Excellent organizational and time management skills to handle multiple tasks and priorities effectively.
Strong communication skills, both written and verbal, with a keen attention to detail.
Proficiency in using productivity tools, such as MS Office Suite, Google Workspace, and project management software.
High level of integrity and ability to maintain strict confidentiality.
Proactive and self-motivated with the ability to work independently in a remote setting.
Flexibility to accommodate different time zones and availability for occasional off-hours support.
Knowledge of the CEO’s industry and business environment is a plus.
