Job Summary:
The Executive Assistant provides administrative and secretarial support to one or more executives, typically at the C-suite level, to ensure the efficient operation of the office and the successful execution of their duties. This role requires a high degree of professionalism, discretion, and the ability to handle sensitive and confidential information.

Key Responsibilities:

1) Calendar and Email Management:
Schedule and coordinate appointments, meetings, and conferences for the executive(s).
Manage and prioritize the executive’s calendar to ensure efficient use of their time.

3) Communication:
Screen and direct phone calls, emails, and other forms of communication.
Draft, edit, and proofread correspondence, reports, and presentations.

4) Travel Arrangements:
Make travel arrangements, including booking flights, hotels, and transportation.
Prepare travel itineraries and ensure the executive’s travel needs are met.

5) Document Management:
Organize and maintain paper and electronic files and documents.
Retrieve and research information as needed.

6) Meeting Support:
Prepare agendas, materials, and presentations for meetings.
Attend meetings, take minutes, and follow up on action items.

7) Expense Management:
Process expense reports and ensure compliance with company policies.

8)Project Coordination:
Assist in managing and coordinating special projects as assigned by the executive.

9) Confidentiality:
Maintain the confidentiality of sensitive information and documents.

Qualifications:
1) Solid experience as an Executive Assistant for at least 2 years in a remote setup.
2) Proficiency in office software (e.g., Microsoft Office Suite).
3) Strong organizational and time management skills.
4) Excellent communication and interpersonal skills.
5) Discretion and the ability to handle confidential information.
6) Problem-solving skills and adaptability.
7) Attention to detail and accuracy.
8) Ability to work independently and as part of a team.
9) Professional appearance and demeanor.

Additional Requirements:
– Some positions may require additional qualifications, such as industry-specific knowledge or certifications.
– Flexibility in working hours, as Executive Assistants may need to accommodate the executive’s schedule.

Contract: Independent Contractor – Full Time
Work hours: US business hours
Location: Remote Work – WFH Set-Up

Benefits:
Permanent WFH setup
Allowances: $100 ($20 starting)Work Overview:
Leaves: 5 paid leaves/year (accrual on the 1st year)
Paid US Public Holidays (depending on the client)
Salary Evaluation: after 6 months
