We are looking for a stellar Executive Assistant to work with a serial CEO. As an Executive Assistant (EA), your main job is to help the CEO save time and leverage it. This is a long-term role where you will be respected, valued, and grow quickly.
Responsibilities:
The role of an Executive Assistant is one of the most integral in the organization. You’ll be expected to work quickly and thoughtfully to help the CEO grow the company quickly. Here are some of what tasks an EA does:
– Managing the CEO’s email and correspondence, including responding to or routing messages as appropriate
– Scheduling and coordinating meetings and appointments for the executive, including arranging for necessary logistics and materials
– Prep sales decks using Google Slides
– Spreadsheet creation in Airtable and/or Google Sheets
– Reconciling in Quickbooks (light bookkeeping)
– Handle administrative and time-sensitive life errands
– Create systems and processes for workflows, and document them
– Effectively manage the CEO’s schedule, expenses, and all communications related to meetings, conference calls, invitations, event planning, board meetings, and interviews
– Collecting and driving a list of key decisions the CEO needs to make each day
– Acting as a liaison between the executive and other members of the organization, including relaying important information and instructions
– Providing general administrative support as needed
– Reach out to potential clients
– Transcribe meeting notes if necessary
– Creating reports if necessary
– Market Research & data entry
We are looking for someone who is:
– You are an experienced Executive Assistant or at least have experience relating to the job.
– You have either a law degree or a master’s degree
– You have a good sense of discretion & confidentiality.
– You’re someone who loves to learn and is a quick learner.
– You like to solve problems and have the initiative.
– You are competitive and love being really good at your job.
– You’re also pretty good at learning new technology.
– You’re thoughtful about your projects, producing high-quality outputs for the team
– You’re comfortable communicating via Email, Slack, Audio, or Video (Loom)
– You’re super dependable and expect your boss to be the same in return
– You speak & write fluent English. This is an absolute must as you’ll be speaking with clients or investors when needed
– The software you should be great at using: Spreadsheets (Excel or Google Sheets), Google Docs, Presentation software (or Powerpoint or Keynote), Management Tools (Trello, Asana, Quickbooks, Hubspot CRM)
– You have fast, reliable internet and a reliable computer that can handle multiple applications open at once (Slack, Notion, Airtable, Google Chrome, Zoom, etc)
– You have excellent organization and time management skills.
– You have the ability to multitask and prioritize tasks.
Working Hours: Monday to Friday, 9 AM – 5 PM CDT
Salary: Starting Salary of $260 paid bi-weekly
