We are seeking an experienced Executive Assistant to provide high-level administrative support to our Pet Business CEO. The ideal candidate will be highly organized, detail-oriented, and possess exceptional communication and interpersonal skills. This role requires someone who is proactive, resourceful, and capable of handling a wide range of administrative and executive support-related tasks with discretion and professionalism.

Responsibilities:
Calendar Management: Efficiently manage the executive’s calendar, scheduling meetings, appointments, and events, while prioritizing conflicting demands and ensuring timely reminders.

Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visa requirements, ensuring smooth travel experiences for the executive.

Communication: Serve as the primary point of contact for internal and external stakeholders, screening and directing inquiries, emails, and phone calls with professionalism and confidentiality.

Documentation and Correspondence: Draft, proofread, and edit correspondence, presentations, reports, and other documents as needed, maintaining accuracy and attention to detail.

Meeting Support: Prepare meeting agendas, materials, and presentations, coordinate logistics, and take minutes as required, ensuring efficient and productive meetings.

Project Coordination: Assist in coordinating and managing various projects, initiatives, and deadlines, collaborating with team members across different departments as necessary.

Expense Management: Process and track expense reports, invoices, and reimbursements accurately and in a timely manner, maintaining detailed records and adhering to company policies.

Confidentiality: Handle sensitive information and confidential matters with discretion and integrity, maintaining the highest level of confidentiality at all times.

Ad-Hoc Support: Provide ad-hoc administrative support to the executive and the leadership team as needed, demonstrating flexibility and a willingness to take on new tasks and challenges.

Qualifications:
Bachelor’s degree in Business Administration, Communications, or related field preferred.

Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives or business leaders.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.

Exceptional verbal and written communication skills, with a keen eye for detail and accuracy.

Discretion and confidentiality in handling sensitive information and matters.

Proactive problem-solving skills and the ability to anticipate needs and take initiative.

A passion for pets and familiarity with the pet industry is a plus.
