Job Description

We are seeking a highly organized and proactive Executive/Personal Assistant to provide comprehensive support to our CEO in managing daily operations and administrative tasks. As the right hand to the CEO, you will play a crucial role in ensuring smooth communication, effective time management, and seamless coordination of tasks across various departments.

The ideal candidate will be a self-starter with exceptional multitasking abilities and a strong commitment to maintaining confidentiality and professionalism.

RESPONSIBILITIES:
-Act as the primary point of contact for the CEO, managing correspondence, emails, phone calls, and scheduling meetings on their behalf.
-Coordinate and prioritize the CEO’s calendar, ensuring all appointments, meetings, and travel arrangements are well-organized and efficiently managed.
-Prepare and edit correspondence, presentations, reports, and other documents as requested by the CEO, maintaining accuracy and attention to detail.
-Assist in the preparation of agendas and materials for meetings, take meeting minutes, and follow up on action items as needed.
-Conduct research and compile information on various topics as assigned by the CEO, providing timely and relevant updates.
-Handle confidential information with discretion and professionalism, maintaining the highest level of confidentiality at all times.
-Assist in special projects and initiatives as directed by the CEO, contributing to the overall success of the organization.
-Anticipate the needs of the CEO and proactively identify opportunities to streamline processes and improve efficiency.
-Liaise with internal and external stakeholders on behalf of the CEO, fostering positive relationships and representing the company with professionalism.

QUALIFICATIONS:
-Proven 2 years of experience as an executive assistant, personal assistant, or similar role, preferably supporting executives in a fast-paced environment.
-Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines in a dynamic setting.
-Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
-Proficiency in Microsoft Office and other relevant software applications, with the ability to quickly learn new tools and technologies.
-High level of discretion and confidentiality, with a demonstrated ability to handle sensitive information with tact and diplomacy.
-Resourcefulness and initiative to independently resolve issues and proactively address challenges as they arise.
-Attention to detail and a commitment to maintaining accuracy in all tasks, from scheduling appointments to preparing documents.
-Flexibility and adaptability to accommodate changing priorities and work effectively in a dynamic environment.
-A positive attitude, strong work ethic, and willingness to go above and beyond to support the CEO and contribute to the -success of the organization.
-Willing to work on Pacific Standard timezone.
