Looking for a world-class Executive Assistant to support the CEO and COO (a husband and wife team) based out of New York City. In essence, we are looking for someone to team up with to help leverage our time and create amazing business results. This job ideally is full-time Monday – Friday working 8 AM – 5PM EST, or overtime as needed.
You must be:

• Independent – doesn’t need us to micro-manage things but instead, you excel when given clear outcomes, which you are responsible for, and then turned loose to get them done.
• Always looking for ways to create systems and structure to make projects and tasks flow better and are easier for the future.
• A great deal of common sense and business sense. Understand at a practical level how the world of business works so that you can help the company minimize costs and exposures and maximize and leverage opportunities and relationships.
• A Multi-tasker – you’ll be handling multiple projects and tasks across a broad front, so you’ll need to be able to move from one to the other in a way that ensures that nothing is missed.
• Comfortable with technology and able to quickly learn new software tools.
• Expert-level proficiency in MS Word, Excel, and PowerPoint and Dropbox, along with a host of other task management programs.
• Ideally has real estate vetting experience as we may ask that you assist us in sourcing and reviewing deals.
Responsibilities include:
1. Email Management
2. File Management
3. Attend all meetings to take notes and create actionable lists to hold people accountable
4. Reminding us about important upcoming dates / plans/reminders
5. Organizing travel arrangements. Learning to make travel for us smooth, easy, fast, and productive. You will become fluent in our travel preferences and will be flexible to make any needed last-minute changes.
6. Scheduling and holding the master calendar for appointments and project and business deadlines, and keeping us accountable for our year’s goals.
7. Organization and systematization of paperwork
8. Screen many of our phone calls and email and handle as many of them as possible.
9. Taking on anything that you can that will save me time from handling tedious tasks, to a variety of other tasks that save us time. In essence, you are willing to roll up your sleeves and help do whatever needs to be done so that we get the job done.
10. Synthesize information, summarize and prepare drafts.
11. Meet with our other assistants/employees to facilitate deadlines
Other Information:
-The work environment is remote. You will need to be comfortable WITHOUT a lot of corporate formalities. You also need to be a clear communicator who will speak plainly.
-Must have a home office and work environment that is efficient for doing business out of.
-You can count on us to always be supportive, respectful, and considerate, but please note that we do currently suffer from juggling too much so time management can be challenging for us (which is why we are hiring you). But I will also hold you accountable for getting things done in an excellent and timely fashion.
– Over time we want to be able to turn over more and more responsibility to you as we build the relationship and trust. I’m not looking for someone who I will need to constantly be looking over his or her shoulder. We want to be able to turn projects and tasks over to you and know they will get done (or to have problems communicated to me as early in the process as possible.)
