I’m looking for an experienced executive assistant to help me jumpstart and reorganize the systems I used at my last company to work for my new role. Together, we will work as a team to manage and cultivate my network while producing multiple podcasts and managing a business.

This is a fast paced role, and you are expected to be online and available more often than the average 9-5. In return, I will make sure you are well rewarded.
# Executive Assistant
The goal of this role is to enhance operational efficiency and support the CEO by managing routine tasks and facilitating communication, allowing him to focus on strategic decision-making and business growth.

This person is a proactive, detail-oriented individual who possesses strong organizational skills and the ability to multitask effectively. They are adaptable, tech-savvy, and possess excellent communication skills, with the potential to grow into a leadership role within the company.

As a venture scales, they may stop managing inboxes and CRMs in order to become the department lead (Chief of Staff) for our executive operations team instead. Alternatively, an interest in project management and workflow design could lead to other opportunities.

Qualifications:
– 1+ years experience in fast-paced administrative role
– Excellent written and verbal communication abilities
– Proficient with CRM platforms, email and productivity software
– Great attention to detail and time management skills
– Takes initiative and seeks opportunities to improve
– 99%+ Internet and Power Uptime
– Willing to work US Central hours starting at 7am, Monday-Friday with a half day on Sunday
– (Nice to have) Experience with podcasting, automation, recruiting, or AI

Objective: Maintain Orderly ClickUp Project Tracking /w Meeting Notes
Ensure all projects are accurately tracked in ClickUp, with all meeting notes documented and accessible.
## Objective: Maintain Accurate CRM/Pipeline /w Meeting Notes
Keep the CRM and sales pipeline updated, ensuring all interactions and meeting notes are accurately recorded.

Objective: Achieve Inbox 0 Daily
Manage the executive’s inbox daily to ensure all messages are addressed, filed, or delegated, maintaining clear communication channels.

Objective: Maintain 48hr Hiring Response Cycle
Streamline the hiring process to ensure all candidates receive a response within 48 hours of their application or interview.

Role Responsibilities

Quarterly
– Review and optimize administrative processes for efficiency.
– Prepare and assist in the execution of quarterly strategic planning sessions.
Monthly
– Compile and present a monthly report of operational metrics and CRM highlights.
– Coordinate and schedule monthly team meetings and follow-ups.
– Review and coordinate new job postings for the month.
Weekly
– Organize meeting agendas and ensure that follow-up actions from meetings are implemented.
– Review upcoming week’s calendar to prioritize tasks and meetings for the executive team.
– Sync with executive team to ensure priorities are aligned
Daily
– Achieve Inbox 0, ensuring prompt responses and organized follow-ups.
– Update ClickUp with the day’s progress and any new tasks, action items, or meeting notes.
– Maintain CRM with the latest interactions and ensure pipeline accuracy.
– Conduct initial review of new applications and coordinate hiring activities.

This role is designed for someone who excels at keeping things running smoothly behind the scenes and has the ambition to grow with the company, potentially evolving into a more strategic role as the venture develops. The successful candidate will start as an essential part of the day-to-day operations with the objective to transition into a leadership position, orchestrating the broader executive operations as a Chief of Staff.
