We are looking for a dedicated Executive Assistant to join our team and contribute to our growth and efficiency.
Job Description: As an Executive Assistant, you will play a critical role in optimizing the efficiency and effectiveness of our senior leadership. Your primary responsibilities will include managing executive schedules, facilitating communication, preparing for meetings, and handling a variety of administrative and project management tasks.
Key Responsibilities:
• Calendar Management and Scheduling: Manage the executive’s calendar, schedule meetings, appointments, and travel arrangements. Address scheduling conflicts and prioritize engagements based on urgency and relevance.
• Communication Facilitation: Serve as the point of contact between the executive and internal teams as well as external partners. Manage emails and correspondences, filter them to highlight what needs immediate attention, and draft responses or communicate on behalf of the executive when necessary.
• Meeting Preparation and Follow-Up: Prepare meeting agendas, ensure the executive has all necessary background information, and manage logistics. Track action items post-meeting to ensure follow-up.
• Document and Presentation Preparation: Create and edit documents, reports, and presentations. Summarize complex information into digestible formats for review and presentation to stakeholders.
• Project Management: Oversee specific projects or initiatives, coordinating between various teams and ensuring deadlines are met with minimal guidance.
• Confidentiality and Discretion: Handle sensitive information with the highest degree of confidentiality and discretion.
• Problem Solving: Act as a first point of contact for any issues or emergencies, possessing strong problem-solving skills to make sound decisions.
• Personal Tasks: Handle personal tasks to leverage the executive’s time towards professional commitments.
• Continuous Improvement: Identify opportunities for process improvements within the executive office.
• Leadership and Team Coordination: Lead and coordinate tasks of a team of administrative professionals, ensuring smooth operation of the executive office.
Qualifications:
• Proven experience as an Executive Assistant or similar role.
• Excellent organizational skills and the ability to multitask.
• Strong communication and interpersonal skills.
• Experience with email management, calendar scheduling, and handling confidential information.
• Proficient in MS Office and other office productivity tools.
• Ability to work under pressure and meet tight deadlines.
• Demonstrated leadership capabilities and team coordination experience.
