Position Overview:
We are seeking a highly organized and proactive Executive Assistant with a strong background in project management to support our executive team. The ideal candidate will be adept at managing multiple tasks, coordinating projects, and maintaining effective communication between various stakeholders. This role requires exceptional attention to detail, excellent communication skills, and the ability to work in a fast-paced and dynamic environment.
Key Responsibilities:
1. Executive Support:
– Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and arranging travel itineraries.
– Prepare and edit correspondence, reports, presentations, and other documents as needed.
– Act as a point of contact between the executives and internal/external stakeholders, demonstrating professionalism and strong interpersonal skills.
2. Project Management:
– Take ownership of assigned projects from initiation to completion, ensuring all project milestones are met within established timelines.
– Collaborate with cross-functional teams to define project scopes, objectives, and deliverables.
– Create project plans, track progress, and identify potential risks or obstacles, implementing effective solutions to keep projects on track.
– Prepare regular project status reports and presentations for executive review.
3. Communication:
– Facilitate effective communication within the executive team and across departments, ensuring alignment on priorities and initiatives.
– Serve as a liaison between executives and project teams, relaying important information and updates.
– Prepare and distribute meeting agendas, minutes, and follow-up action items.
4. Organization and Efficiency:
– Maintain accurate and up-to-date records, files, and databases, ensuring easy retrieval of information.
– Streamline administrative processes to optimize efficiency and productivity.
– Proactively identify opportunities to enhance workflow and implement improvements.
5. Event Coordination:
– Assist in planning and coordinating company events, meetings, and conferences.
– Manage logistics, including venue selection, catering, materials preparation, and attendee coordination.
Qualifications and Skills:
– Bachelor’s degree in business administration, Management, or a related field (or equivalent experience).
– Proven experience as an Executive Assistant, preferably with a background in project management.
– Strong project management skills with the ability to prioritize and manage multiple projects simultaneously.
– Excellent written and verbal communication skills.
– Proficiency in office productivity tools (Microsoft Office, Google Workspace, project management software, etc.).
– Exceptional organizational skills and attention to detail.
– Ability to maintain confidentiality and handle sensitive information with discretion.
– Strong problem-solving skills and the ability to make sound decisions independently.
– Adaptability and flexibility to thrive in a fast-paced and ever-changing environment.
– Professional demeanor, positive attitude, and excellent interpersonal skills.
Contract: Independent Contractor – Full-Time Graveyard Shift
