Job Description

We are seeking a highly organized and versatile Executive Personal Assistant to support an executive in managing their professional and personal life. The ideal candidate will be responsible for a wide range of tasks, including but not limited to managing goals, plans, calendars, and email inboxes. This role requires exceptional attention to detail, strong time management skills, and the ability to handle a variety of responsibilities efficiently.

Key Responsibilities:

Goal and Plan Management:
Assist the executive in setting, tracking, and achieving professional and personal goals.
Coordinate and execute action plans to meet established objectives.

Time Management:
Efficiently schedule appointments, meetings, and events.
Optimize the executive’s daily schedule to maximize productivity and minimize conflicts.

Email and Communication:
Manage email inboxes, including screening, prioritizing, and responding to messages.
Coordinate and facilitate communication with various stakeholders.

Bookkeeping:
Maintain financial records, track expenses, and create reports.
Assist with budget management and expense tracking.

Task and To-Do List Management:
Maintain and organize task lists, ensuring all important activities are tracked and completed.
Set priorities and send timely reminders to the executive.

Shopping Lists and Price Comparison:
Create and update shopping lists, both online and in physical stores.
Research and find the best prices for products, and facilitate online orders.

Health and Fitness Tracking:
Monitor the executive’s health and fitness goals.
Suggest workout routines, track meals, and provide reminders for hydration, medication, and exercise.

Research and Information Gathering:
Conduct research on various topics as needed.
Compile information, provide summaries, and present findings to support decision-making.

Social Media Management:
Help the executive schedule and manage social media posts.
Monitor engagement and interactions on various platforms.

Document Management:
Organize and categorize documents and files, making them easily accessible.
Implement efficient filing and data management systems.

Education and Learning Support:
Recommend courses, workshops, and resources to support the executive’s continuous learning and skill development.
Provide explanations on various subjects as needed.

Virtual Shopping Assistant:
Assist with online shopping by finding deals, recommending products, and managing the ordering process.

Qualifications:
Proven experience as an executive or personal assistant, with a track record of managing diverse tasks effectively.
Excellent organizational and time management skills.
Strong communication and interpersonal abilities.
Tech-savvy and proficient in using digital tools and software for scheduling, email, and task management.
Financial acumen and experience with bookkeeping.
Knowledge of health and fitness tracking tools and best practices.
Research skills and the ability to gather and summarize information.
Familiarity with social media platforms and management tools.
Proficiency in document and file management.
A commitment to maintaining confidentiality and discretion.
