The brand was designed to assist businesses that weren’t financially in the space to afford a full-time marketing team but still wanted to have the best strategies for growth. This is provided through digital boot camps, webinars, and e-books. We provide an array of different tools to be able to assist small business owners in developing their brands. We are on the lookout for an enthusiastic and dynamic Executive Assistant to become a valued member of our team. As an Executive Assistant, you will play a vital role in ensuring the seamless operation of our agency. Your exceptional organizational skills, effective communication, and ability to foster a positive work environment are essential in advancing our mission of empowering individuals and businesses to thrive in the ever-evolving digital marketing landscape. This role also involves providing high-level administrative support to our CEO, ensuring the efficient execution of key tasks and company initiatives, including the management of the CEO’s communications, calendar, and provision of professional customer service.

Responsibilities:

Calendar Management: Efficiently manage the executive’s calendar, scheduling meetings, appointments, and events related to marketing activities.
Email Management: Monitor and prioritize emails, responding when appropriate, and flagging important messages for the executive’s attention.
Travel Arrangements: Coordinate travel plans, including booking flights, hotels, transportation, and creating itineraries for marketing-related trips.
Meeting Preparation: Prepare materials, agendas, and presentations for marketing meetings, ensuring that the executive is well-prepared for discussions and presentations.
Data and File Management: Organize and maintain marketing-related documents, reports, and data, ensuring easy access and retrieval as needed.
Expense Management: Track and reconcile marketing-related expenses, ensuring they align with the budget and submitting timely expense reports.
Communication Liaison: Act as a liaison between the executive and internal/external stakeholders, conveying messages and information accurately and promptly.
Project Coordination: Assist in coordinating marketing projects by tracking timelines, following up on tasks, and helping to ensure project goals are met.
Research Task: Conduct research on market trends, companies, competitors, and industry insights relevant to Monrae’s marketing efforts. Provide summaries and recommendations based on findings to support marketing strategy and decision-making.
Event Coordination: Assist in planning and executing marketing events, including trade shows, conferences, and product launches.
Database Management: Maintain and update marketing databases, contact lists, and CRM systems to support targeted outreach efforts.
Vendor Relations: Manage relationships with marketing-related vendors, negotiate contracts, and ensure timely payments.
Confidentiality: Handle sensitive marketing information and maintain a high level of confidentiality and discretion.
Priority Management: Help the executive prioritize tasks and projects, ensuring that the most critical marketing initiatives are addressed first.
Problem-Solving: Identify and address issues and challenges proactively, seeking solutions and providing recommendations.
Ad hoc Tasks: Be flexible in assisting with various marketing-related tasks and projects as they arise.

Qualifications:
Proven experience as a virtual administrative assistant or in a similar support role.
Proficiency in virtual office software, including Microsoft Office Suite, Slack, Click Up.
Strong organizational skills with keen attention to detail.
Excellent research, written and verbal communication skills.
Ability to multitask, prioritize, and manage time effectively.
Positive attitude, proactive approach, and strong problem-solving abilities.
Strong interpersonal skills and the ability to work collaboratively in a team environment.
Proficiency with social media platforms and online communication tools.
