As a Remote Executive Assistant, you will play a pivotal role in ensuring the smooth operation of our property management company while supporting our growth needs. You will work closely with the executive team and various departments to facilitate efficient communication, coordinate administrative tasks, and implement strategies to streamline operations. Responsibilities:
Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling appointments, and organizing meetings.
Communication Management: Serve as a primary point of contact for internal and external communications, including answering phone calls, responding to emails, and drafting correspondence.
Document Management: Maintain and organize important documents, contracts, and files to ensure easy access and retrieval as needed.
Project Coordination: Assist in coordinating various projects and initiatives to support the company’s growth objectives, including researching market trends and preparing reports.
Client Relations: Interact with clients and tenants in a professional and courteous manner, addressing inquiries and concerns promptly and effectively.
Data Entry and Analysis: Accurately input data into management systems and perform basic analysis to generate reports and insights as required.
Travel Arrangements: Arrange travel accommodations and itineraries for team members as needed, ensuring cost-effectiveness and convenience.
Expense Management: Track and reconcile expenses, process invoices, and maintain financial records in compliance with company policies.
Special Projects: Assist with ad-hoc projects and tasks as assigned by the executive team to support company objectives and initiatives.
Qualifications:
Proven Experience: Previous experience as an executive assistant or in a similar administrative role, preferably within the property management or real estate industry.
Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
Communication Skills: Excellent written and verbal communication skills, with a professional and courteous demeanor.
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with cloud-based collaboration tools (e.g., Google Workspace, Microsoft Teams).
Attention to Detail: Strong attention to detail and accuracy, with the ability to maintain confidentiality and handle sensitive information appropriately.
