The Executive Assistant will play a critical role in supporting our daily operations and ensuring smooth administrative functions. This remote role requires exceptional organizational skills, a high degree of professionalism, and the ability to manage multiple tasks effectively.
Key Responsibilities:
Email and Communication Management: Filter, sort, and prioritize emails; handle customer inquiries; maintain correspondence with business partners.
Customer Inquiry Response: Provide detailed information on vehicle availability, rental terms, pricing, and policies via email or chat.
Calendar and Appointment Scheduling: Manage the executive’s calendar, including scheduling meetings, vehicle maintenance checks, client appointments, and staff schedules.
Booking and Reservation Management: Oversee all aspects of bookings, from reservation to invoicing; handle modifications, cancellations, and payment processing.
Data Entry and Record Keeping: Accurately enter data related to bookings, vehicle maintenance, and customer interactions into company systems.
Social Media Management: Regularly update social media profiles and engage with customers; post promotions, vehicle updates, and company news.
Customer Feedback Collection and Analysis: Collect and analyze customer feedback to enhance service quality.
Supplier and Vendor Coordination: Liaise with suppliers and vendors to ensure that services and goods are delivered in a timely and efficient manner.
Financial Reporting: Assist with the preparation of financial reports, track expenses, and manage billing issues.
Marketing Support: Help coordinate marketing campaigns and promotions, including email marketing and content creation for digital platforms.
CRM and Database Management: Maintain and update customer relationship management systems with new data and interactions.
Legal and Compliance: Ensure compliance with local regulations concerning vehicle licensing, insurance, and safety standards.
Technology and Operational Efficiency: Research new technologies and processes that could improve operational efficiency.
Event Planning and Coordination: Organize business events or participate in trade shows and industry conferences.
Qualifications:
Proven experience as an Executive Assistant, preferably in the rental or automotive industry.
Strong command of office software, including MS Office, CRM platforms, and project management tools.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and high attention to detail.
Knowledge of digital marketing tools and techniques is a plus.
Fluent in English; proficiency in other languages is beneficial.
